Job summary

Mirvac is seeking a Senior Facility Manager to oversee financial performance and capital expenditure for premium office assets in Sydney. You will manage procurement of operations services, ensuring safety, compliance, and superior customer service while partnering with Portfolio and Facility Managers.

You will lead a team, review alterations for NCC/compliance, and drive asset management activities including budgeting and reporting. On-call flexibility and weekend coverage are expected.

Qualifications

• 8+ years of facilities management experience with a strong admin/technical background.
• Trade or tertiary qualifications in a relevant field.
• Experience in high-volume roles with competing priorities.
• Proven ability to negotiate and enforce contracts.
• Solid understanding of Australian Standards, NCC, HSE, DDA and risk management.
• Willingness to be on call 24/7, including weekends and after-hours.

Responsibilities

• Control and ensure all financial capital and operating budget expenses against forecast for your properties.
• In consultation with the Portfolio Manager review alterations to ensure compliance with specifications and NCC/statutory requirements.
• Prepare scope of works and all relevant documentation.
• Approve Work Orders, process tax invoices and contracts within delegated authority.
• Comply with Mirvac Quality Management System requirements.
• Advise the Property Manager and Facility Manager on maintenance and operational issues affecting buildings and budgets.
• Respond to after-hours calls as required.
• Maintain an up-to-date asset register and preventative maintenance planner.
• Monitor statutory logs and registers relevant to the properties.
• Participate in Operational Health check Proforma with leadership and managers on-site.
• Complete all FCR compliance reporting within set timeframes.
• Ensure adequate staffing/monitoring during absences; notify managers of leave.
• Mentor and train facility managers within the team.
• Provide support and leadership to facility managers.
• Participate in customer and investor activities as required.

Your opportunity

As Senior Facility Manager, you will oversee the operational and capital expenditure performance for premium office assets ensuring all financial targets are achieved. You will manage the procurement and delivery of operational services in alignment with the Portfolio Manager and statutory requirements, while upholding the highest standards of safety, compliance, and customer service excellence.

What you'll be doing:

• Control and ensure all financial Capital & Operating budget expenses against forecast for your properties
• In consultation with the Portfolio Manager review proposed alterations to ensure that all building/alteration works meet architects/consultants’ specifications and any NCC or statutory requirements
• Prepare scope of works and all relevant documentation
• Approval of Work Orders, tax invoice processing and contracts within delegated authority
• Compliance with the requirements of the Mirvac Quality Management System
• Advise the Property Manager and the Facility Manager on maintenance and operational issues which may affect the normal operation of the building and operating budget
• Respond to all after-hours calls as required
• Maintain an up to date asset register and preventative maintenance planner in the required business format
• Monitor and ensure all relevant statutory logs, registers relevant to the properties are in the required business format
• Participate in Operational Health check Proforma (QMS dataroom) with Divisional Manager, onsite Facility Manager and Property Manager
• Complete all FCR compliance reporting within the correct timeframes
• Ensure the building is adequately staffed/monitored during periods of absence, promptly notifying Portfolio or Property Manager of any absence from site including planned or unplanned (sick) leave and annual leave
• Actively mentor and train all facility managers in your team
• Provide support and leadership to the facility managers in your team
• Take part in customer and investor activities as required.

What you will bring:

• At least 8 years’ experience in all facets of facilities management typically stemming from a solid administrative and/or technical background.
• Technical competency with trade or tertiary qualifications
• Demonstrated experience in a high-volume role with conflicting priorities
• Demonstrated experience in negotiating and enforcing contracts
• Demonstrated understanding of Australian Standards, NCC, HSE, DDA and other risk management issues
• Ability to be on call 24/7, work on weekends and attend to after-hours calls
• Experience preparing detailed asset plans, budgets and capital expenditure recommendations and reports
• Good decision making, leadership, influencing, presentation and negotiation skills
• Detailed knowledge and practical experience of BMCS systems
• Project management and risk management expertise
