Job summary

UGL provides engineering, construction, and maintenance services across diverse sectors in Australia. The role sits in the national Major Projects team, supporting complex bids across sectors including data centres, transport and defence.

You will coordinate bid submissions, maintain document control, and support project teams through procurement and delivery phases, while ensuring compliance and timely milestones.

Qualifications

• 5+ years experience in a Bid Coordinator or related role within an engineering or construction management environment.
• Strong SAP and Excel skills.
• Ability to work independently to organise and prioritise demands in a fast paced environment.

Responsibilities

• Coordinate the preparation of bid submissions and ensure compliance with tender requirements and deadlines.
• Maintain a centralized bid documentation repository with version control and accessibility.
• Provide administrative support to the project delivery team and ensure contractual adherence.
• Track milestones, tasks and deliverables to meet key deadlines.
• Facilitate communication between internal teams, external partners and stakeholders.
• Compile reports and dashboards to track performance metrics and progress.
• Manage bid and project documents with security and confidentiality.
• Oversee data exchange between parties via project management platforms or data rooms.
• Oversee submission, review and approval workflows for budgets, schedules, and technical reports.
• Support procurement during the bid phase by organizing supplier/subcontractor bid packages.
• Assist project teams in monitoring budgets, invoices, and resource allocation during delivery.
