Sydney Grammar School is an independent non-denominational day School for boys. The secondary School (7-12) is located on College Street in the city of Sydney and the two preparatory Schools are located at Edgecliff (K-Year 6) and St Ives (Preschool-Year 6).
ABOUT THE ROLE
The School Receptionist is the primary and first point of contact for visitors to the School. This role provides support to teachers, boys, visitors, parents and staff and assists with the administration duties of the School. The School Receptionist is required to provide a range of administrative and support services, which contributes to the effective operation of the School.
This is a full-time, term-time only role with some additional days worked during term breaks.
KEY RESPONSIBILITIES
- Greeting parents, visitors and staff (in person and via the general inquiries telephone number)
- Ensure all incoming phone calls are attended to in a prompt and courteous manner which can on occasion be high volume
- Screening and directing calls and messages to the appropriate departments
- Distribution of telephone messages throughout the School
- Assisting visitors with signing in to the School
- Liaising with boys, parents, visitors and staff of the School
- Receive, sort and distribute daily mail
- Managing incoming deliveries (parcels/packages) to both reception and Stanley Street
- Daily recording of boys' absences (multi-faceted; can provide further information if required)
- Signing-in boys who are late or leaving the school early
- Managing items being dropped off for boys by parents
- Maintain and manage petty cash for boys
- Booking of couriers
- Management of reception flowers, stationery, and kitchenette supplies
- Management of parking access for carparks
- Handling general and administrative enquiries as required
- Provide cover and support in the absence of the Executive Assistant to Finance and Operations (or however named)
- Formatting of Form VI Reference letters for Housemasters in consultation with the Deputy Headmaster and Assistant Headmaster (Senior Housemaster)
- Relevant long-term improvement / project work as required
- Other duties as required by the Headmaster or their delegate.
KNOWLEDGE, SKILLS AND EXPERIENCE
- Relevant previous Reception experience preferably in a School
- Demonstrated understanding of workplace administration / management
- Demonstrated proficiency with Microsoft Office products and general office equipment
- Excellent organisational and time management skills
- Outstanding written and verbal communication skills, including demonstrated proficiency with English language skills including grammar, spelling and punctuation
- Excellent management of documents, including electronic and hard copy files
- Ability to prioritise and manage multiple and competing work tasks and deliver to agreed deadlines
- Ability to work independently, with limited supervision
- Strong customer service skills, particularly the ability to work with young people and families
- Outstanding collaborative skills, with the demonstrated ability to contribute significantly and productively in working effectively as part of a team
- Knowledge of, and experience in, the education sector
