Guildford Grammar School are seeking a warm, professional and highly organised Preparatory School Administration Assistant to join our Preparatory School team for Term 4, 2026. This is a fixed-term position working Wednesdays from 7.30am to 3.30pm (0.2 FTE), with the potential for extension into 2027.
As a key member of the Preparatory School administration team, you will be the first point of contact for students, staff, parents and visitors, helping to create a welcoming and efficient environment while providing essential administrative support to the School.
About the Role
Reporting to the Executive Assistant to the Head of Preparatory School, your responsibilities will include:
Providing reception coverage and delivering exceptional customer service
Welcoming and assisting students, families, visitors and staff
Managing telephone enquiries and directing communications appropriately
Supporting student attendance processes and maintaining accurate records
Undertaking general administration tasks including filing, document preparation and data entry
Assisting with new student interview administration and transition processes
Maintaining calendars and administrative systems
Supporting School events, orientation activities and emergency procedure documentation
Working collaboratively with the broader Preparatory School administration team
About You
To be successful in this role, you will demonstrate:
Previous administration or reception experience, ideally within a school or education environment
Outstanding customer service and communication skills
Strong organisational skills with the ability to manage competing priorities
High levels of accuracy, attention to detail and confidentiality.
A proactive, positive and flexible approach to work
The ability to build positive relationships with students, staff and families
Alignment with the values and Anglican ethos of Guildford Grammar School
Experience with systems such as SEQTA, Synergetic, Consent2Go and LibCal will be highly regarded. Requirements
The successful applicant will:
Hold, or be able to obtain, a current Working with Children Check
Hold, or be able to obtain, a National Police Clearance
Have the right to work in Australia
