Job summary

Sharon AI, Inc. is seeking a Project Master Scheduler to plan, coordinate and optimise the Integrated Master Schedule across all project phases. You will partner with PMs, technical leads and vendors to ensure accurate plans, clear dependencies and timely delivery.

You will translate complex data into actionable insights, support governance, reporting and stakeholder communications in a fast-paced AI infrastructure environment.

Qualifications

• Experience as a Project Scheduler or similar role.
• Proficient with MS Project, Planner and JIRA.
• Knowledge of Agile, Waterfall and Hybrid PM approaches.
• Strong communication and organisational skills.
• PMO/large-scale project exposure is advantageous.

Responsibilities

• Build and maintain the Integrated Master Schedule (IMS) using scheduling tools.
• Analyse schedule performance, identify variances and recommend actions.
• Coordinate with workstream leads on task sequencing and resources.
• Conduct schedule risk assessments and scenario modelling.
• Prepare schedule dashboards, critical path analysis and milestone tracking reports.
• Support governance activities including meeting prep, minutes and actions.
• Assist with project reporting and RAID logs.

The Role

As Project Master Scheduler, you'll be responsible for developing, maintaining and optimising the integrated master schedule across all phases of Sharon AI's project lifecycle. You'll ensure project plans are accurate, dependencies are clearly understood, risks are visible and delivery teams have the information they need to execute effectively. Alongside scheduling, you'll provide project coordination support to the Project Manager across reporting, governance, communication and project administration.

Reporting to the Head of PMO, you'll work closely with project managers, technical leads, business stakeholders and external vendors to maintain alignment across timelines, priorities and deliverables. This is a role suited to someone who is highly organised, detail-oriented and proactive, with the ability to turn complex project data into clear insights and anticipate scheduling issues before they escalat[e].

Key Responsibilities

• Build and maintain the Integrated Master Schedule (IMS) using scheduling tools such as MS Project, Planner and JIRA

• Coordinate with workstream leads to ensure task sequencing, dependencies and resource allocations are accurate
• Conduct schedule risk assessments and scenario modelling
• Prepare schedule dashboards, critical path analysis and milestone tracking reports
• Support the Project Manager with project governance activities, including meeting preparation, minutes and action tracking
• Assist with project reporting, including status updates, RAID logs and stakeholder communications
• Manage project documentation, version control and compliance with PMO standards
• Track project deliverables and proactively follow up with owners to ensure timely completion
• Work closely with project managers, technical leads, business stakeholders and external vendors
• Facilitate communication across teams to maintain alignment on timelines and priorities
• Present schedule insights, risks and dependencies clearly and concisely

Skills & Experience

• Proven experience as a Project Scheduler or similar role
• Strong proficiency in scheduling tools such as MS Project, Planner, JIRA or equivalent
• Solid understanding of project management methodologies, including Agile, Waterfall and Hybrid approaches
• Ability to interpret complex project data and communicate meaningful insights effectively
• Excellent organisational and time-management skills, with strong attention to detail
• Strong written and verbal communication skills
• Proactive approach, with the ability to anticipate and address scheduling issues before they escalat[e].
• Collaborative and confident engaging with stakeholders at all levels
• Calm under pressure and adaptable to shifting priorities

Experience working within PMO environments is desirable, as is exposure to large-scale transformation, construction, engineering or IT programs. Familiarity with risk management and dependency mapping is advantageous, while certifications such as PMI-SP, PMP or PRINCE2 will be highly regarded.
