Job summary

The City of Ballarat is seeking a proactive Procurement Officer to support procurement, tendering and contract management across the organisation. You will assist with system administration, documentation and compliance reporting.

Reporting to the Procurement Coordinator, you will handle PCMS and online tendering platforms, monitor workflows, provide user guidance and drive continuous improvement in procurement processes for a wide range of internal customers.

About the role

The Procurement Officer plays an important support role within Council's Procurement team, assisting with the delivery of best practice procurement and tendering activities across the organisation.

Reporting to the Procurement Coordinator, you will provide procurement administration, systems support and customer assistance in accordance with Council's Procurement Policy, Procurement Procedure and associated guidelines. You will assist with the administration of Council's procurement and contract management systems, support tendering activities, maintain procurement records and contribute to procurement compliance reporting.

Key responsibilities include:

  • Providing administrative and operational support across procurement, tendering and contract management activities.
  • Administration of Council's Procurement and Contract Management System (PCMS) and online tendering platforms.

To be successful in this role, you will have experience in administration, procurement support, contract administration or a similar office-based environment.

Key Selection Criteria
  • Demonstrated experience in the principles and practice of customerservice and call centre environments.
  • Demonstrated ability to display empathic listening skills and a highlevel of written and verbal communication skills.
  • Demonstrated experience working with people of culturally andlinguistically diverse backgrounds. The ability to speak multiplelanguages would be an advantage.
  • Demonstrated ability to acquire an in-depth knowledge of the City ofBallarat’s services and procedures, and strong competence in theoperation of Windows-based programs and other relevant systems.
  • Knowledge and understanding of health and safety issues relevant towork activities and work area.
