Job summary

Azabu Group is seeking an Events Coordinator & Host to deliver premium guest experiences across multiple venues and off‑site locations in Sydney. You will manage end‑to‑end event logistics, run sheets, client briefs, and on‑site coordination with staff and suppliers.

You will oversee guest profiles, VIP dining preferences, and collaboration with marketing for campaigns and collateral. Flexibility to work evenings/weekends is essential for success in this role.

Qualifications

• Proven experience in event coordination or functions management within premium hospitality.
• Hands-on familiarity with reservation and event management platforms, especially SevenRooms.
• Excellent communication and interpersonal skills with clients, suppliers and teams.
• Strong organisational skills and ability to multitask under pressure.
• Able to work event-based hours including evenings and weekends.

Responsibilities

• End‑to‑End Event Coordination: lead logistics from concept to bump‑in, live execution and pack‑down across venues and off‑site activations.
• Operational Planning & Run Sheets: create function sheets, floor plans and run sheets with kitchen and bar teams for smooth service.
• On‑the‑Day Management: act as primary on‑site contact, troubleshoot in real time, coordinate casual staff and suppliers, ensure guest satisfaction.
• Client & Enquiry Management: handle phone/email inquiries, qualify leads, capture briefs, maintain regular client communication.
• Guest Systems & VIP Profiles: manage reservations, guest profiles, and VIP dining preferences in SevenRooms.
• Marketing & Collateral Support: assist with B2B/B2C campaigns, EDMs, signage, bespoke menus and collateral.
• Supplier & Vendor Relations: research, negotiate and coordinate external suppliers and venues.
• Finance & Administration: process invoices, deposits, simple reconciliations, maintain SOPs and inventory.
