Job description

Hastings Physio and Health – Port Macquarie NSW

Lead a great team. Own your practice. Make a real impact.

Hastings Physio and Health is looking for an experienced and motivated Practice Manager to lead the day-to-day operations of our busy Lake Innes practice.

This is a hands‑on leadership role for someone who enjoys working with people, takes ownership, and gets satisfaction from seeing a team and a practice perform at their best.

You’ll be responsible for leading our reception and administration team, supporting our clinicians, maintaining high standards of patient service and taking ownership of the operational performance of the practice.

About Hastings Physio and Health

Hastings Physio and Health is an established allied health business with three practices across the Hastings region.

Our team includes physiotherapists, exercise physiologists, massage therapists and dedicated administration staff. We are passionate about providing high-quality care while creating a positive experience for both our patients and our team.

We are a growing business that values initiative, teamwork and doing things well.

About the Role

As Practice Manager, you will be the key operational leader at our Lake Innes practice.

You will lead the reception and administration team and work closely with our clinicians to ensure the practice operates efficiently, patients receive an exceptional experience and the team is achieving agreed standards and goals.

Your responsibilities will include:
Team Leadership & Accountability

Lead, support and develop the reception and administration team.

Set clear expectations and monitor team members responsibilities and performance.

Coach team members to improve their skills, confidence and effectiveness.

Foster a positive, professional and high‑performing team culture.

Identify issues early and take action rather than allowing problems to build.

Practice Performance

Take ownership of the day‑to‑day operational performance of the practice.

Monitor key practice KPIs and identify opportunities for improvement.

Ensure outstanding tasks, follow‑ups and administrative processes are completed consistently.

Work with the clinical team to optimise appointment availability and therapist utilisation.

Support effective debtor management and accurate billing processes.

Ensure patients receive friendly, professional and consistent service from the moment they contact the practice.

Build strong relationships with patients and encourage appropriate rebooking and continuity of care.

Handle escalated patient concerns professionally and work towards practical solutions.

Maintain high standards across all front‑of‑house operations.

Clinic Operations

Oversee the smooth running of the practice each day.

Ensure systems, processes and procedures are followed.

Support onboarding and training of new administration team members.

Work with the Leadership Team to implement new processes and initiatives.

Identify opportunities to improve efficiency.

About You

We are looking for someone who is confident, organised, proactive and genuinely enjoys leading people.

You will ideally have:

Previous experience in Practice Management, Team Leadership, Medical/Allied Health Administration or a similar role.

Experience leading and developing a team.

Strong organisational and time‑management skills.

Excellent communication and interpersonal skills.

A strong customer service mindset and the ability to build rapport with patients and staff.

Confidence having difficult conversations and holding people accountable.

A proactive approach - you see what needs to be done and get on with it.

Strong attention to detail and the ability to manage competing priorities.

The ability to work independently while knowing when to seek support.

Experience with healthcare administration and practice management systems.

An understanding of NDIS, Workers Compensation and Support At Home care would be highly regarded.

Most importantly, we're looking for someone who takes ownership.

You don't need to know everything on day one. We can teach you our systems and processes. What we need is someone who is willing to learn, asks questions, follows things through and takes responsibility for making their practice better.

The Support You’ll Have

You won't be doing it alone.

You will work closely with our Operations Manager, Director, Marketing/Business Development Manager and Clinical Leads, as well as the Practice Managers at our other two locations.

You'll have access to support, guidance and a wider leadership team - while having clear ownership of the day‑to‑day management of your practice.

What We Offer

A supportive and collaborative leadership team who want to see you succeed.

A genuinely people-focused workplace with an established admin team.

Professional development and opportunities to grow with the business.

The opportunity to make a meaningful impact on both patients and your team.

Employee and family treatment benefits.

A beautiful coastal lifestyle in Port Macquarie.

A modern, purpose‑built practice.

The Location

You'll be based at our purpose‑built Lake Innes practice in Port Macquarie, conveniently located in the Bunnings Complex next to World Gym.

Port Macquarie offers an excellent coastal lifestyle, with beautiful beaches, great outdoor spaces and a vibrant local community.
