Health Buddies AU is a new private speciality practice offering specialised treatment across mental health, women's health, and integrative health in a warm, neuro-affirming, and strengths-based environment. Our services span psychiatric assessment and treatment, evidence-based psychotherapy, TMS, and novel treatments, delivered by a collaborative team of specialists, psychologists, and support staff.
As we grow, we are looking for an experienced Practice Manager to keep our clinic running smoothly and to help us deliver an exceptional experience for our patients and clinicians alike.
This is a hands-on leadership role at the heart of our practice. You will oversee day-to-day operations, support our clinical team, and ensure our systems, staff, and compliance run seamlessly. It's a genuinely varied role that suits someone organised, personable, and comfortable balancing the administrative, financial, and people sides of a busy mental health practice.

Oversee the day-to-day operations of the practice and day program
Lead, roster, and support administrative and reception staff
Manage billing and invoicing across Medicare, DVA, private health, and self-funded patients, including MBS item accuracy
Coordinate patient intake, appointments, and the referral pathway (including GP and HealthLink referrals)
Maintain compliance with mental health day hospital accreditation, Department of Health requirements, and internal policies and procedures
Support HR functions, including onboarding, employment documentation, and staff wellbeing
Liaise with practitioners, external providers, and the practice accountant
Oversee facilities, supplies, and the smooth running of the clinic environment
Uphold patient confidentiality and a safe, welcoming atmosphere at all times
Demonstrated experience as a Practice Manager or in a senior administrative role within a medical or allied health setting
Sound knowledge of Medicare and MBS billing; familiarity with mental health or psychiatry settings highly regarded
Confident with practice management software and general clinical/office systems
Strong organisational, problem-solving, and interpersonal skills
A calm, discreet, and compassionate approach, with genuine care for the people we support
Ability to work independently and prioritise across competing demands
