Job summary

Alita Sales Pty is seeking a proactive Project Coordinator to support the planning, scheduling and delivery of pharmacy stands, displays and activations nationwide. You will work with merchandising teams, suppliers, Territory Managers and pharmacy customers to ensure installations are on time, accurate and to high standards, in a hands-on role across Australia.

The role focuses on coordinating logistics, stakeholder management and reporting, with regular field interactions and a strong emphasis

Qualifications

• Experience in administration, scheduling or field support.
• Strong organisational and time management skills.
• Excellent attention to detail and ability to manage multiple deadlines.
• Confidence working with multiple stakeholders and deadlines.
• Strong written and verbal communication skills.
• Intermediate to advanced Excel and Outlook proficiency.

Responsibilities

• Coordinate installation of pharmacy stands, displays and activations across Australia.
• Schedule and manage calls for national merchandising team.
• Allocate resources and optimise field coverage to meet requirements.
• Liaise with pharmacies, suppliers, merchandising staff and internal stakeholders.
• Monitor project timelines and installation progress.
• Track stock, POS materials and display assets.
• Prepare reports and maintain accurate activity records.
• Assist with customer enquiries and operational administration.

Job description

Reporting to the Management Team, you'll be at the centre of delivering standout retail experiences for some of Australia's leading health and beauty brands. From coordinating fixture installations and store transformations to rolling out promotional campaigns, pharmacy activations, and merchandising programs nationwide, no two days will be the same.

You will be responsible for planning, scheduling, and coordinating multiple projects simultaneously, working closely with our merchandising team, supplier partners, Territory Managers, and pharmacy customers to ensure every installation and activation is executed accurately, on time, and to a high standard. This is a hands-on role that combines project coordination, stakeholder management, logistics planning, and retail execution, giving you the opportunity to see your work come to life in stores across the country.

Key responsibilities

• Co-ordinate the installation of pharmacy stands, displays and promotional activations across Australia
• Schedule and manage calls for our national merchandising team
• Allocate resources and optimise field coverage to meet customer and supplier requirements
• Liaise with pharmacies, suppliers, merchandising staff and internal stakeholders
• Monitor project timelines and installation progress
• Track stock, point of sale materials and display assets
• Prepare reports and maintain accurate activity records
• Assist with customer enquiries and operational administration

About you

• Previous experience in administration, scheduling, project co-ordination or field force support
• Strong organisational and time management skills
• Excellent attention to detail
• Confidence working with multiple stakeholders and competing deadlines
• Strong communication skills, both written and verbal
• Intermediate to advanced Microsoft Office skills, particularly Excel and Outlook
• A proactive, can do attitude and willingness to take ownership
• Experience in retail, pharmacy, merchandising or FMCG environments will be highly regarded
