UAP Brisbane is seeking a People & Learning Coordinator to help keep day-to-day HR and learning activities running smoothly across our Australian operations.
You will own routine People & Learning tasks, support managers and employees with policies, and play a hands-on role in recruitment, onboarding, offboarding, training, and reporting.
The role requires initiative, discretion with confidential information, and the ability to improve systems like our HRIS, ELMO, and related processes.
UAP is a global leader in the design and delivery of public art and specialty architectural projects, working with artists, architects, and developers to realise ambitious, city-shaping outcomes.
UAP invites applications for a People & Learning Coordinator to join our Brisbane team and play an important role in the day-to-day delivery of people and learning activities across our Australian operations.
This position is initially offered as a 12-moth fixed-term contract, with the possibility of continuing beyond the initial contract period.
About the Role
As People & Learning Coordinator, you'll play a key role in keeping our day-to-day HR and learning processes running smoothly. This is a varied, hands-on position combining coordination and administration with practical guidance and support for managers and employees across the business.
You'll have the opportunity to take ownership of routine People & Learning activities, contribute to employee matters and help improve the systems and processes that support our people. We're looking for someone who can work with initiative, exercise sound judgement and recognise when more complex matters need to be escalated.
The role will include the following responsibilities:
Support day-to-day People & Learning activities, including recruitment, onboarding, offboarding, learning, performance and reporting.
Act as a key point of contact for People & Learning queries, providing practical guidance to managers and employees on established policies and processes, and escalating more complex matters where appropriate.
Assist with employee matters by gathering relevant information, identifying options and preparing recommendations to support management decision-making.
Support recruitment processes by liaising with hiring managers, coordinating job advertisements, and providing support with interviews, reference checks and offer documentation as required.
Coordinate onboarding, induction and offboarding processes, ensuring documentation, system records and follow-up activities are completed accurately and on time.
Prepare and maintain employment contracts, letters, employee records, reports and other People & Learning documentation.
Support the administration and ongoing improvement of our HRIS and learning system, ELMO, ensuring employee information and records are accurate and up to date.
Coordinate training and development activities, mandatory learning, probationary periods and performance review processes.
Assist managers and team members with routine guidance on People & Learning processes, policies and system use
Act as Return to Work Coordinator, supporting return to work planning, suitable duties, documentation, communication and follow-up.
Assist with HR reporting, compliance activities, internal audits and safety-related processes and documentation.
Coordinate People & Learning initiatives, events and projects, and contribute ideas to simplify and improve systems and processes.
Occasional travel may be required to support other locations.
About You
You're an organised and proactive person who enjoys working with people and keeping things running smoothly. You have a good understanding of everyday HR processes and are comfortable providing practical support and guidance to managers and employees.
You're someone who takes initiative, follows things through and thinks ahead rather than simply waiting for direction. You enjoy being across the detail, but can also see opportunities to make processes clearer, more efficient and easier for others to navigate.
You'll bring a professional and approachable manner, sound judgement and a willingness to continue learning and developing your skills across a broad range of People & Learning activities.
What You Need to Succeed
The successful candidate will be able to demonstrate the following:
Relevant qualifications in Human Resources, Learning and Development or a related discipline
Minimum 2–3 years’ experience in HR, learning and development, or a similarly applicable people-focused role
Practical experience supporting core HR processes and a good understanding of the employee lifecycle.
Familiarity with Australian employment legislation, with the ability to navigate and interpret relevant legislation and modern awards when required.
Strong interpersonal skills, with the confidence to build positive working relationships and provide practical guidance to managers and employees.
Initiative, sound judgement and the ability to work independently while recognising when to seek advice or elevate matters.
Ability to handle confidential information with discretion, care and professionalism.
Confidence using Microsoft Office Suite, HRIS and other business systems, including working with data, reports and employee records.
Return to work coordination, workplace rehabilitation, WHS or related training is desirable, or willingness to undertake.
We are an equal opportunity employer and value diversity. All employment is decided on the basis of qualifications, merit and business need.
