Description du poste

$140,000 – $160,000 (incl. super) per year

Aldermane is seeking an Operations Manager / Practice Manager to oversee the day-to-day management and governance of our firm.

This is a broad executive role spanning governance, people, budgets, business operations, and compliance. Working closely with our Managing Director and founder, you will translate the firm’s direction and priorities into coordinated activity, well-managed processes, and completed work. As a people business, the core operational requirements are: managing our people, managing our work, and ensuring that business infrastructure exists to support both.

The role will suit a commercially minded all-rounder who is highly organised, takes care with detail, and finds satisfaction in making a business run well. An ability to take direction, implement a process, and achieve an outcome are key.

About Aldermane

Aldermane is a full-service project design and delivery firm headquartered in Canberra. We bring together expertise across legal, commercial and procurement, strategy, project management, and technical services to support major Government programs.

Our purpose is to contribute to the security and prosperity of all Australians. Our approach is simple: good people, doing good work.

The role

You will provide the organisation, coordination and follow-through to support the Managing Director in leading the firm and implementing its strategic priorities. You will be a do-er who enjoys implementation of strategy, change management, organisational design, and building an organisation. Developing a close understanding of the firm’s strategic priorities, you will organise the practical work around them required to deliver, look after the administrative detail, and keep initiatives progressing.

You will work across the business with our Service Line Leads and support functions, bringing together information, people and tasks so that everyday operations run smoothly. This includes anticipating what is needed, preparing matters for decision, and taking ownership of the work that follows.

Success in this role will come from dependable execution, sound judgement and straightforward ways of working. You will be comfortable moving between executive coordination and detailed administration, giving both the attention they require.

Your responsibilities will include:

Governance and executive coordination

Coordinate and manage the firm’s governance calendar, executive meetings, and management reporting, including agendas, actions, papers, and supporting information.

Maintain clear records of decisions and actions, and coordinate the people and work required to put them into effect.

Manage tracking tools for actions, outcomes, bids, recruitment, capacity, and workflows across the entire organisation.

Coordinate the Managing Director’s business priorities and commitments, ensuring information is readily available and activities are prepared and progressed.

Human resources and personnel management

Manage the firm's workforce pipeline and recruitment targets as set by the Managing Director, working with our Service Line Leads to deliver on targets, including by identifying client requirements and coordinating selection, through to onboarding and training.

Organise probation, performance reviews, and professional development activities, maintaining clear records and ensuring processes are completed.

Coordinate and manage day-to-day personnel matters, risks, and issues, working with leaders and specialist advisers as required.

Maintain visibility of staffing and development needs, helping align recruitment and training with the firm’s work and budgets.

Budgets and target coordination

Work with the Managing Director to prepare firm-wide budgets and map financial and operational targets across the team and service lines.

Coordinate budget inputs and resourcing plans so that they are consistent with the firm’s overall priorities.

Establish systems and tools to monitor and report on revenue, costs, utilisation, and performance against budget and other firm-set metrics.

Workflow management, procedure, and compliance

Manage administrative workflows for contracts and tenders, including deadlines, approvals, records and key obligations.

Coordinate information about workforce capacity and commitments to support resourcing and work allocation across the firm's existing and new pool of resources.

Maintain insurances, renewals and other business compliance requirements, including personnel accreditations, client accreditations, and panel deed requirements.

Oversee the timely and accurate completion of timesheets and coordination of invoicing.

Keep business systems, policies, procedures, records and processes organised, current and easy to use.

About you

You will bring experience in operations management, practice management, business management or a comparable role with responsibility across several organisational functions. Experience in professional services, consulting or a similar environment will be highly regarded.

We are looking for someone with:

Strong organisation and task management. You can bring order to a varied workload, keep track of detail and steadily progress work through to completion.

Diligence and conscientiousness. You are thorough, reliable and attentive to the small things that keep a business running properly.

Commercial acumen. You understand budgets, resourcing and business performance, and apply that understanding to everyday decisions.

Initiative and practical judgement. You anticipate what is needed, take ownership of routine matters and recognise when input is required.

Clear communication and discretion. You work well with colleagues across different disciplines and handle sensitive personnel and commercial information with care.

A practical approach to implementation. You turn priorities into manageable tasks, use straightforward processes and take pride in delivering consistent results.

You will enjoy working closely with a founder and leadership team, providing the structure and administrative capability that help business priorities move forward.

This role offers a close working relationship with the Managing Director and founder, responsibility across the business and the opportunity to make a tangible contribution to how the firm operates. This represents an opportunity to learn how a business runs, and contribute in a direct and measurable way to its success.

You will play an important part in supporting our people and the work they deliver for our clients. It is an opportunity for someone who enjoys variety, values doing things properly, and takes satisfaction in seeing plans put into practice.
