About MediPaws

MediPaws Veterinary Specialist and Emergency Hospital is based in Leichhardt in Sydney’s Inner West. Our multidisciplinary team works together to provide high-quality specialist and emergency care in a collaborative, supportive, and continuously improving environment.

Behind great clinical care is a well‑organised hospital. Our operations team ensures our people have the supplies, systems, and practical support they need to do their best work.

About the role

We are looking for a second Operations Administrator to join our established operations team. Working alongside our existing Operations Administrator and Operations Manager, you will take ownership of routine procurement and stock support across the hospital. This is a varied, practical role suited to someone who enjoys being organised, following tasks through, and helping a busy team stay on track.

What you’ll be responsible for
  • Completing weekly orders for routine hospital, office, and kitchen supplies.
  • Monitoring stock levels, conducting regular inventory checks, and identifying replenishment needs.
  • Receiving and unpacking deliveries, checking orders and coordinating stock to the appropriate areas.
  • Restocking shared areas, including the staff kitchen and other operational supply points.
  • Supporting external laboratory requests, including the administration and coordination of samples requiring specialised shipping and handling
  • Monitoring the team’s stock movement and support and maintenance communication channels, responding where appropriate, and escalating issues when required.
  • Assisting with stock records, invoice checks, and other routine procurement administration.
  • Providing general operational and administrative support across the hospital as priorities arise.
About you
  • Experience in administration, operations, procurement, inventory, or a similarly hands‑on coordination role.
  • Strong organisational and time‑management skills, with the ability to manage both recurring tasks and ad hoc priorities.
  • Excellent attention to detail and confidence in maintaining accurate records.
  • A practical, proactive approach and the willingness to help wherever needed.
  • Clear, professional communication skills and the ability to work collaboratively with clinical and support teams.
  • Confidence using Microsoft 365 and learning new systems. Experience with inventory, practice management, or purchasing systems would be an advantage.
  • Experience in a veterinary, healthcare, or other fast‑paced service environment would be valued, but is not essential.

If you do not meet every criterion but believe your skills and approach are a strong fit, we still encourage you to apply. We support ongoing learning and development for the right person.

Benefits and perks
  • Competitive above-award remuneration.
  • Opportunities for professional development and continuing education.
  • An additional week of annual leave each year.
  • An additional day off during your birthday month.
  • A supportive, collaborative workplace where operational roles are recognised as essential to excellent patient care.
