Job summary

EZRA in Sydney, Australia is seeking an Operational Shared Services Specialist to join our Hybrid team. You will own end-to-end registration and launch management for open enrolment programs, coordinate cross-functional work, and ensure accurate revenue processing through EZRA systems.

You will collaborate with Customer Success, Billing, and Config teams, document processes in Confluence, and contribute to data hygiene and continuous improvement across the OSS function.

Qualifications

• 3+ years of experience in a back office or administrative role.
• Strong attention to detail and ability to manage many concurrent processes.
• Experience working with technical systems.
• Understand financial processes and how to manage POs and payment methods.
• Ability to follow and document processes.
• The ability to build collaboration locally and globally.
• Committed to continuous improvement and streamlining of processes.
• Ability to operate as part of a global team, flexing hours occasionally to meet client or business deadlines.

Responsibilities

• Own end-to-end registration and launch management for open enrolment programs.
• Manage global coaching program extension requests.
• Leverage EZRA systems for order processing and revenue forecasting.
• Coordinate cross-functionally with Customer Success, Billing, and Configuration teams.
• Identify blockers, dependencies, and risks across OSS workflows to expedite revenue recognition.
• Document processes for open enrolment programs using Confluence.
• Manage multiple shared inboxes and follow up on incomplete registrations.
• Coordinate credit card invoicing with Billing and monitor SLAs.
• Create and send quotes for participant coaching as required.
• Analyze rates and POs for accuracy against contracts prior to processing registrations.
• Review participant communications to ensure clear registration instructions.
• Support data hygiene initiatives.
• Join account team calls as needed.
• Participate in UAT for updated EZRA functionality.
