Key duties include reception, scheduling, records management, correspondence processing, procurement of supplies, supporting recruitment, preparing reports and liaising with external partners.

  • Manage office reception duties, greet visitors, answer phones and direct enquiries.
  • Schedule and coordinate meetings, appointments and events for management and staff.
  • Maintain records and filing systems, both physical and digital, per company policies.
  • Process correspondence, emails and documentation promptly.
  • Order and manage office supplies and equipment, ensuring stock levels.
  • Support recruitment by coordinating interviews and onboarding new employees.
  • Prepare reports, presentations and documents as required by management.
  • Liaise with external contractors, vendors and service providers.
  • Assist with data entry, bookkeeping support and administrative tasks; familiar with MyOb for PO creation and open to other booking software.

Job description

We are seeking an experienced and organised Office Administrator to join the team at Ritek. This is a full-time position based in Punchbowl, NSW. As Office Administrator, you will be assisting in our operations, ensuring that our office runs smoothly and efficiently. You will provide essential administrative support across the organisation, managing day-to-day operations and supporting multiple departments to achieve their objectives. This role is pivotal in maintaining our professional standards and supporting our team to work effectively.

What you’ll be doing
  • Managing office reception duties, including greeting visitors, answering phones and directing enquiries to the appropriate department
  • Scheduling and co-ordinating meetings, appointments and events for management and staff
  • Maintaining accurate records and filing systems, both physical and digital, in accordance with company policies
  • Processing correspondence, emails and documentation in a timely and professional manner
  • Ordering and managing office supplies and equipment, ensuring stock levels are maintained
  • Supporting the recruitment process by coordinating interviews and onboarding new employees
  • Preparing reports, presentations and documents as required by management
  • Liaising with external contractors, vendors and service providers
  • Assisting with general office duties including data entry, bookkeeping support and administrative tasks. Familiar with the use of MyOb in creating purchase orders and willing to learn to use other booking softwares.
  • Maintaining confidentiality and adhering to data protection procedures
What we’re looking for
  • Proven experience working as an Office Administrator or in a similar administrative role within a fast-paced environment
  • Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
  • Excellent communication skills, both written and verbal, with a professional manner
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) and familiarity with office management software
  • High level of accuracy and attention to detail in all administrative work
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong interpersonal skills and a friendly, approachable demeanour when dealing with colleagues and external contacts
  • Flexibility and adaptability to changing priorities and work demands
  • Experience with scheduling and diary management systems
  • Relevant qualifications in administration, business or office management would be advantageous
