Job description

As our Logistics Coordinator, you'll play a key role in ensuring our products and store supplies move efficiently from our suppliers in Asia to our growing network of stores across our global markets. Working closely with our Operations Manager, you'll coordinate international and domestic freight, manage relationships with logistics partners and third-party warehouses, and help ensure deliveries arrive on time and within budget.

This is a hands-on role with plenty of variety, and a great opportunity for a logistics professional looking to build their experience in a fast-paced, growing retail business.

Key responsibilities
Third Party Warehouses
  • Assist the Operations manager in all aspects of managing our third party warehouses including;
  • Oversight of the daily operations of our 3PL warehouses in China (Product) and South Africa, UK and Malaysia (Consumables and temporary storage).
  • Manage and maintain relationships with the vendors of each facility.
  • Review service delivery agreements and ensure the provider is meeting key performance indicators implicit in our service level agreements (SLA’s). Proactively communicate where we are not hitting service delivery standards expected by the provider for the business.
  • Communicate with stores to resolve issues and receive feedback on improvements to service.
  • Review and approve invoices. Ensure compliance with our contract. Regular renegotiation of terms and conditions as provided.
  • Actively monitor and manage our third party logistic costs to budget.
International & Domestic Freight
  • Maintain relationships with our express, and bulk, freight providers for all of our transit lines from factory to our stores across both Sea and Air. This is inclusive of domestic freight to our stores or end consumers on ecommerce fulfillment.
  • Review service delivery agreements and ensure the provider is meeting key performance indicators implicit in our service level agreements (SLA’s). Proactively communicate where we are not hitting service delivery standards expected by the provider for the business.
  • Track and monitor speed of delivery, cost and cost per kilogram for each of our transit lines.
  • Communicate with stores to resolve issues and receive feedback on improvements to service.
  • Review and approve invoices in coordination with Product Coordinators. Ensure compliance with our contract. Regular renegotiation of terms and conditions as provided.
  • Actively monitor and manage our freight costs to budget. Regular review of costing advised to product to ensure we mimimise variances between standard and actual costs.
  • Proactively suggest improvements to our freight efficiency and cost profile.
  • Manage all customs issues in landing product. Look to minimise duty where possible particularly double duty (duty paid in two countries due to stock transfers). Ensure we actively claim any duty drawbacks we are eligible for. Remain aware of duties and tariffs for our products into all key markets.
  • Actively review opportunities for sea freight over air freight as timelines allow.
  • Ensure review, monitoring and cost control of logistics extends to ecommerce fulfillment in our key markets specifically Australia and the UK where we are delivering direct to customers from stores/warehouses.
Store Fit outs and Consumables
  • Responsible for managing the ordering and replenishment of all consumables needed for our stores such as packaging, cleaning supplies and stationery. Work with the stores to understand their needs, source consumables from Asian sources and ship as efficiently as possible to our key markets and stores.
  • Regular check of available stock of consumables in each region, re-ordering regularly in bulk to maintain supplies and service to stores.
  • Review the freight arrangements for store fit outs and consumables from source in Asia. Identify the cheaper provider between freight arranged by the vendor and our own freight partners.
  • Monitor and track speed of delivery and cost for our store fit out and consumable supplies.
  • Manage the third party arrangements in regions that are providing the pick/pack facilities for consumables.
  • For new stores, ensure the first drop of product is sea freighted from the China 3PL to the new store prior to opening (holding in temporary third party logistic facilities where required). Coordinate and arrange the shipment between the Merchandise and Warehouse teams, giving ample time to the merchandise team for allocation and warehouse for picking and dispatch.
What we’re looking for
  • Some experience in a logistics, supply chain or similar coordination role, with a basic understanding of freight, warehousing and distribution
  • Strong numerical skills, with confidence working with data, costs and spreadsheets, particularly Excel
  • Excellent attention to detail and strong organisational skills, with the ability to manage multiple priorities
  • Strong written and verbal communication skills, with the ability to build effective relationships with internal teams and external partners
  • A proactive, solutions-focused approach, with the ability to take initiative and work independently
  • Comfortable identifying issues, problem-solving and suggesting improvements to existing processes
  • A positive, flexible attitude and willingness to learn and develop
  • Experience in international freight or retail logistics would be advantageous, but is not essential
What we offer
  • The opportunity to contribute to a growing, ambitious brand
  • Exposure to international supply chain, freight and logistics operations across multiple markets
  • A collaborative, supportive team environment
  • Career development and progression opportunities
  • Generous discounts across the HARLI + HARPA range
