Job summary

Sun Metals is seeking a highly organised Logistics Administration Officer to support domestic and export sales activities. You will manage data in JD Edwards, prepare shipping documentation and coordinate inter-departmental workflows.

The role requires attention to detail, strong Excel/Word skills, and experience with inventory, shipping and finance data in a metals/commodities environment. On-site in Townsville with a collaborative team.

Qualifications

• Certificate in Administration or similar.
• Export Certificate or Diploma advantageous.
• Current Driver's Licence and own transport desirable.
• Strong skills in Microsoft Excel and Microsoft Word.
• Minimum one year in a similar role within commodities, sales, logistics, inventory or related environment.
• Experience preparing, checking and reconciling sales, production, inventory, shipping and finance data.
• Experience working with internal stakeholders such as Operations and Finance.
• Experience or knowledge of inventory management, shipping, transport and distribution processes.
• Understanding of domestic and export sales documentation requirements for metals/commodities.
• Experience with ERP/inventory management systems; JD Edwards ERP knowledge is highly regarded.

Responsibilities

• Maintain and reconcile accurate sales, inventory, production and warehousing data in JD Edwards ERP and monthly reports.
• Prepare and process domestic and export sales documentation (shipping docs, packing lists, invoices, certificates).
• Check and record daily production figures; assist with monthly production and shipping plans.
• Report weekly accounts receivable information to Finance to support cashflow monitoring.
• Reconcile monthly sales data for metals and by-products with Operations and Finance.
• Assist with cost reviews related to trucking, rail and shipping activities.
• Maintain records relating to metal products and sales activities.
• Coordinate distribution of product samples and dispatch original shipping docs.
• Collaborate with Sales Officers and support the wider Sales function.
• Ensure documentation supports business decisions and compliance with procedures and systems.
• Participate in continuous improvement initiatives to enhance processes.

As a Logistics Administration Officer, you will play an important role in supporting Sun Metals' domestic and export sales activities. Working closely with Sales, Operations, Finance and external logistics providers, you will help ensure accurate sales, inventory, production and shipping information is maintained and that products are delivered efficiently to customers.

• Maintain and reconcile accurate sales, inventory, production and off-site warehousing data within the JD Edwards ERP system and relevant monthly reports.
• Prepare and process domestic and export sales documentation, including shipping documents, packing lists, sales invoices, weight certificates and assay certificates.
• Check and record daily production figures and assist with monthly production and shipping plans.
• Report weekly accounts receivable information to Finance to support cashflow monitoring and timely customer payments.
• Reconcile monthly sales data for metals, acid, concentrates and by-products with Operations and Finance.
• Assist with cost reviews associated with trucking, rail and shipping activities.
• Maintain accurate physical and electronic records relating to metal products and sales activities.
• Coordinate and organise the distribution of product samples where required.
• Dispatch original shipping documentation as required.
• Work collaboratively with other Sales Officers and provide support across the wider Sales function.
• Ensure appropriate documentation is maintained to support business decisions and compliance with organisational procedures, legislation and relevant systems.
• Participate in continuous improvement initiatives and identify opportunities to improve processes and systems.
• Maintain current knowledge of relevant industry practices, professional standards and ethical requirements.
• Undertake other reasonable duties as directed by management.

About the Candidate

We are looking for a highly organised and commercially minded individual who enjoys working with data, documentation and multiple internal stakeholders.

You will ideally have:

• Certificate in Administration or similar.
• An Export Certificate or Diploma would be advantageous.
