Job summary

Ausbuild is seeking an organised Interior Design Administration Assistant to support the Design Studio through pre-site and construction stages. You will handle administrative tasks, manage the studio diary, prepare documentation for designers, and ensure accurate client selection records are maintained.

The role requires strong customer service, exceptional organisation, and clear written and verbal communication.

Qualifications

  • Demonstrated experience in an administrative role.
  • Strong customer service background with confidence in client interactions via phone and email.
  • High level of organisation and attention to detail.
  • Excellent written and verbal communication skills.
  • Positive, proactive and professional approach.
  • Basic understanding of residential construction principles (desirable).

Responsibilities

  • Provide administrative support to internal stakeholders, external clients and the Interior Design team.
  • Monitor and action the department inbox with timely responses and escalation as required.
  • Manage the Studio Diary including scheduling tours, selections and client interactions.
  • Prepare documentation for Interior Designers prior to client appointments.
  • Record and maintain client selection documentation post‑appointments.
  • Update job files with amendments, site changes and client requests.
  • Draft and issue Post Contract Variations as required.
  • Maintain studio presentation standards including sample organisation and stocktake.
  • Attend supplier functions and product information sessions as directed.

Interior Design Administration Assistant
The Role

We are seeking a highly organised and detail-oriented Selections Administration Assistant to provide administrative, operational and document support to our Design Studio team and clients throughout the pre-site and construction stages of the building journey.

In this role, you will:
  • Provide administrative assistance to internal stakeholders, external clients, and the Interior Design team.
  • Monitor and action the department inbox, ensuring timely responses and escalation where required.
  • Manage the Studio Diary, including scheduling Studio Tours, Selection Appointments, and other client interactions.
  • Prepare documentation for Interior Designers prior to client appointments.
  • Record, update, and maintain client selection documentation following appointments, ensuring accuracy.
  • Update job files with post‑appointment amendments, site‑related changes, and any additional client requests.
  • Draft and issue Post Contract Variations based on approved and documented changes (as required)
  • Maintain studio presentation standards, including sample organisation, display upkeep, inventory stocktake, and general cleaning.
  • Attend supplier functions, events, and product information sessions as directed.
