Job summary

CareWell Health in Botany, Sydney NSW, is seeking an Installation Coordinator to support equipment installation projects from order confirmation to completion.

You will work with Operations, Warehouse, Sales, installation crews and external contractors to keep projects on track, coordinate site requirements, and maintain documentation. A proactive, detail-oriented communicator will thrive in this team.

Qualifications

• Experience in administration, project coordination, scheduling or operations support.
• Strong organisational skills and ability to manage competing priorities.
• Excellent attention to detail and accurate record-keeping.
• Clear written and verbal communication skills.
• Proficiency with Microsoft Office, especially Excel, Outlook and Teams.
• Experience maintaining schedules, trackers and project documentation.
• Proactive problem-solving and follow-through on tasks.
• Ability to work independently while collaborating across teams.

Responsibilities

• Coordinate and maintain the master installation schedule and project calendar.
• Review orders and ensure installation details are recorded in IMS.
• Prepare installation plans, project packs and docs.
• Liaise with aged care facilities for dates, site access and room lists.
• Coordinate information between internal teams, crews and contractors.
• Track stock readiness and delivery arrangements with Warehouse.
• Monitor daily progress and identify outstanding items.
• Follow up delays, missing info and issues affecting timelines.
• Prepare project updates and progress reports for management and customers.
• Coordinate administration of equipment removals, recycling and relocation.
• Obtain completion records and close out projects.
• Identify opportunities to improve installation processes and reporting.
