Job summary

Medibytes Legal Pty Ltd is seeking an experienced Operations & Practice Manager to lead our onsite client services and offshore support team, ensuring smooth day-to-day operations and delivering outstanding service to clients and doctors.

This hands-on leadership role sits in a growing startup, with potential expansion into finance and accounts, and a pathway to build the team as the business grows. Hybrid work post probation is possible, with occasional travel as needed.

Qualifications

• Proven experience in an operations, practice management or team leadership role, with a preference for experience in the medical, legal or professional services industry.
• Experience in medical practice management is highly regarded.
• Experience managing offshore or remote team members is highly regarded.
• Strong understanding of client service and administrative operations.
• Experience documenting processes and improving workflows.
• Proficiency in Microsoft Office Suite and Google Suite, and confidence learning new systems.
• Experience in finance, accounts or bookkeeping is a plus.
• Excellent written and verbal communication skills.
• Ability to handle sensitive and confidential information with professionalism.
• Calm, approachable and solutions-focused under pressure.

Responsibilities

• Lead, support and develop our onsite client services team, ensuring a consistently high standard of client communication and service.
• Manage and grow our offshore support team in the Philippines, including delegating tasks, setting priorities and supporting their development.
• Oversee daily operations, including bookings, scheduling, report coordination and client enquiries.
• Assist with doctor onboarding processes and the ongoing management of our specialist network, building strong working relationships with our specialist doctors and ensuring they are well supported.
• Identify opportunities to improve processes, document workflows and move suitable tasks to our offshore team.
• Recruit, onboard and train new team members as the business grows.
• Step in to support the team on the phones and with administrative tasks during busy periods.
• Work alongside our technology team to roll out new systems across the operations team.
• Report to the Managing Director on team performance, workloads and operational priorities.
• Over time, take on responsibilities in finance and accounts.
