Job summary

Freo Group in Mt Thorley, NSW, is seeking an enthusiastic Fleet Controller to oversee the operational coordination of our fleet, ensuring efficient and safe deployment in line with client requirements and company procedures.

You will manage crane operations, allocate resources, and liaise with clients, managers, and workshop teams to maintain high service levels. The role offers stability in a growing national group with strong safety culture.

Qualifications

  • Experience in a Fleet Co-ordinator, Allocator, Transport Scheduler, Operations Coordinator, or similar role within crane/transport/mining/heavy equipment.
  • Knowledge of cranes, lifting operations, heavy vehicles, plant and equipment is desirable.
  • Strong planning and scheduling skills to coordinate multiple crane and labour hire requirements.
  • Excellent communication and stakeholder management with clients, operators, supervisors, and subcontractors.
  • High level of computer literacy and experience using fleet management, scheduling, or ERP systems.
  • Strong problem-solving abilities with proactive approach to operational challenges.
  • Understanding of safety, compliance and industry regulations relating to crane and lifting operations.
  • Experience in shutdown, construction, maintenance, resources, or project environments is highly regarded.
  • Ability to mobilise personnel and equipment to meet deadlines and changing client requirements.
  • Strong organisational skills to prioritise demands in fast-paced environments.
  • Attention to detail when managing allocations, timesheets, and documentation.

Responsibilities

  • Coordinate daily allocation and scheduling of cranes, operators, riggers, doggers, and support equipment.
  • Manage enquiries and bookings; ensure accurate entry into company systems.
  • Optimise fleet utilisation by matching crane availability and client requirements.
  • Liaise with clients, project managers, supervisors, operators, and workshop personnel.
  • Coordinate crane servicing, inspections, and compliance with Workshop Manager.
  • Monitor fleet availability and identify opportunities to improve efficiency.
  • Arrange cross-hire equipment and subcontract resources as required.
  • Create and manage job allocations, numbers, POs, and booking docs.
  • Ensure licences, VOCs, inductions, and training records stay current.
  • Coordinate mobilisation/demobilisation for shutdowns, projects, and major lifts.
  • Assist with site inspections and job planning for crane selection and resources.
  • Resolve scheduling conflicts and customer inquiries professionally.
  • Reconcile dockets, timesheets, and job records for accurate charging and payroll.
  • Maintain supplier and subcontractor records per policies.
  • Assist with incident investigations and corrective actions per QA/Safety procedures.
  • Attend planning meetings with HR and management to ensure resourcing.
  • Monitor and report on opportunities, downtime, and utilisation trends for improvement.
  • Provide excellent customer service and maintain stakeholder relationships.
  • Participate in after-hours roster to support operations.

As a Fleet Controller, you will play a crucial role in overseeing the operational coordination of our fleet, ensuring all equipment is deployed efficiently and safely in accordance with client requirements and company procedures.

What you’ll bring to the team:

  • Experience in a Fleet Co-ordinator, Allocator, Transport Scheduler, Operations Coordinator, or similar role within the crane, transport, construction, mining, or heavy equipment industry.
  • Knowledge of cranes, lifting operations, heavy vehicles, plant and equipment is highly desirable.
  • Strong planning and scheduling skills with the ability to coordinate multiple crane and labour hire requirements simultaneously.
  • Excellent communication and stakeholder management skills, with the ability to liaise effectively with clients, operators, supervisors, workshop personnel and subcontractors.
  • High level of computer literacy and experience using fleet management, scheduling, or ERP systems.
  • Strong problem-solving abilities with a proactive approach to managing operational challenges and last-minute changes.
  • Understanding of safety, compliance and industry regulations relating to crane and lifting operations.
  • Experience working within shutdown, construction, maintenance, resources, or project-based environments is highly regarded.
  • Demonstrated ability to mobilise personnel and equipment to meet tight deadlines and changing client requirements.
  • Strong organisational skills with the ability to prioritise competing demands in a fast-paced operational environment.
  • Excellent attention to detail and accuracy when managing job allocations, timesheets, purchase orders, and operational documentation.
  • Previous administration and coordination experience is preferred; training will be provided to the successful candidate.

What you’ll be doing:

  • Create and manage job allocations, job numbers, purchase orders, and booking documentation in company systems.
  • Ensure operator licences, VOCs, inductions, training records, and competency requirements remain current and compliant.
  • Coordinate mobilisation and demobilisation activities for shutdowns, construction projects, and major lifts.
  • Assist with site inspections and job planning activities to ensure appropriate crane selection and resource allocation.
  • Resolve operational issues, scheduling conflicts, and customer enquiries in a professional and timely manner.

  • Attend operational planning meetings and work closely with HR and management to ensure adequate resourcing across all projects.
  • Monitor and report lost opportunities, fleet downtime, and utilisation trends to support continuous improvement initiatives.
  • Provide exceptional customer service and maintain positive relationships with internal and external stakeholders.
  • Participate in an after-hours roster as required to support operational requirements and emergency client requests.
