Job summary

Programmed are seeking an experienced Fleet Controller in Thomastown, VIC to manage a ~50-vehicle fleet and drivers, coordinating daily operations for safe, timely waste collection across Melbourne.

This hands-on role requires coordinating schedules with drivers, the workshop and management to keep the operation running smoothly. Wastedge experience is highly desirable and beneficial.

Qualifications

• Previous experience in fleet control, fleet allocation or transport allocation is essential.
• Hands-on experience coordinating vehicles and drivers in a busy fleet.
• Strong scheduling and organisational skills; ability to manage multiple priorities.

Responsibilities

• Plan and schedule daily driver runs and collection services.
• Allocate vehicles and drivers to scheduled work.
• Manage driver availability, absences and schedule changes.
• Monitor driver progress and resolve operational issues.
• Reschedule missed or delayed collections.
• Provide direction, support and feedback to drivers.
• Manage customer and site issues.
• Ensure jobs are completed and closed for invoicing.
• Use Wastedge to manage customers, schedules and operational information.
• Monitor driver performance and KPIs.
• Work closely with the workshop.
• Support driver inductions, training and toolbox meetings.
• Identify opportunities to improve fleet utilisation and efficiency.
• Ensure compliance with transport, fatigue, OH&S and CoR requirements.

Programmed are currently seeking an experienced Fleet Controller to join an established waste management business based in Thomastown.

Operating a fleet of approximately 50 vehicles, the business specialises in waste collection services for high-rise residential buildings, apartment complexes and commercial properties across Melbourne.

This is a hands‑on operational role where you’ll take ownership of the daily fleet, drivers and collection schedules, working closely with drivers, customers, the workshop and management to keep the operation running smoothly.

Thomastown VIC | Permanent Full Time | $100,000 – $120,000 + Super | Mon-Fri 6:00am – 3:00pm

About the Role

As Fleet Controller, you’ll coordinate the daily operation of approximately 50 vehicles and drivers, ensuring scheduled services are completed safely, efficiently and on time.

Your responsibilities will include:

• Planning and scheduling daily driver runs and collection services
• Allocating vehicles and drivers to scheduled work
• Managing driver availability, absences and schedule changes
• Monitoring driver progress and resolving operational issues
• Rescheduling missed or delayed collections
• Providing direction, support and feedback to drivers
• Managing customer and site issues
• Ensuring jobs are accurately completed and closed off for invoicing
• Using Wastedge to manage customers, schedules and operational information
• Monitoring driver performance and operational KPIs
• Working closely with the mechanical workshop
• Supporting driver inductions, training and toolbox meetings
• Identifying opportunities to improve fleet utilisation and operational efficiency
• Ensuring compliance with relevant transport, fatigue, OH&S and Chain of Responsibility requirements

About You

Previous experience in fleet control, fleet allocation or transport allocation is essential.

We’re looking for someone who has genuine hands‑on experience coordinating vehicles, allocating drivers and managing the day‑to‑day operation of a busy fleet.

You will have:

• Previous experience as a Fleet Controller, Fleet Allocator, Transport Allocator or in a closely related fleet allocation role
• Proven experience coordinating and communicating with drivers
• Strong scheduling, allocation and organisational skills
• The ability to manage multiple priorities and make decisions under pressure
• Strong communication and problem‑solving skills
• Good computer skills and confidence using operational systems
• An understanding of transport compliance, fatigue management and Chain of Responsibility

Experience within the waste management industry would be highly beneficial, particularly exposure to waste collection, bin collection/pick‑up operations, waste trucks or servicing high‑rise and restricted‑access sites.

Experience using Wastedge is highly desirable and considered critical to the role.
