Job summary

Polestar Australia is seeking a Fleet Admin Specialist to coordinate fleet orders, invoicing and customer service across our dealer network. You will manage orders from quotation through delivery, monitor payments and provide timely updates to customers and internal teams.

Experience in automotive fleet or order administration with strong communication and detail orientation is essential. Proficiency with Salesforce or ServiceNow is highly regarded and will support effective case management.

Qualifications

• Experience in automotive, fleet, dealership, customer service, account management or order administration.
• Strong communication and relationship-building skills with a customer-focused approach.
• Excellent organisation and attention to detail, with the ability to manage multiple orders and priorities.
• Confident following up customers, dealers and payments and resolving issues proactively.
• Good understanding of orders, invoicing, pricing and payment processes.
• Experience with Salesforce, ServiceNow or similar CRM systems is highly regarded.

Responsibilities

• Manage fleet accounts from quotation and vehicle order through to delivery, ensuring orders are processed accurately and on time.
• Coordinate with fleet customers, dealers and internal teams to provide updates on orders, payments, vehicle availability and delivery.
• Monitor payments, pricing and invoicing, following up outstanding accounts and escalating issues when required.
• Manage fleet enquiries and cases through the support inbox, ensuring requests are resolved within agreed timeframes.
• Maintain strong relationships with customers, dealers and internal stakeholders while providing a high level of customer service.
• Use systems such as Salesforce and ServiceNow (SNOW) to manage cases, system requests, invoice amendments and customer records.

The Fleet Admin Specialist role will focus on and have responsibility for Provision of efficient fleet co-ordination services, support of corporate sales process, co-ordination of order processing, provision of exceptional customer service and accurate management of invoicing related compliance documentation.
