Capital EA is recruiting on behalf of a highly regarded national not-for-profit organisation seeking an exceptional Executive Officer to work directly with the Chief Executive Officer and support the effective operation of the CEO’s Office.

This position is private and confidential, and represents an outstanding opportunity for an experienced senior EA or EO who thrives at the centre of a busy executive environment.

We are looking for someone who doesn’t simply manage a diary - you anticipate, coordinate, prioritise and make things happen.

Why you will love it:

This is a hands‑on role for someone who enjoys working close to the centre of decision‑making and takes pride in keeping a busy CEO office organised, responsive and on track.

Working directly with the CEO, you will help ensure the Office of the CEO operates smoothly and professionally. You will manage priorities, coordinate information, oversee workflow and follow‑up, support key relationships and bring sound judgement to the daily operations of a national organisation with an important purpose.

Key Responsibilities:

Manage the day‑to‑day operations of the Office of the CEO, including calendar management, meeting coordination and travel bookings.

Anticipate scheduling needs, manage competing diary priorities and ensure the CEO is well prepared for meetings, travel and key commitments.

Coordinate the flow of information, priorities, workflows and follow‑up actions across the CEO’s office.

Respond professionally to phone enquiries and support donation and bequest‑related matters with care, discretion and appropriate follow‑up.

Support stakeholder engagement, correspondence and organisational activities with professionalism and discretion.

Exercise sound judgement in managing competing demands, sensitive information and emerging priorities.

Keep the Office of the CEO organised, prepared and able to respond effectively across a broad range of matters.

Contribute to a collaborative, purpose‑driven environment where strong executive support helps the organisation deliver for communities across Australia.

About You

You are an experienced executive support professional who brings maturity, initiative and sound judgement to a busy Office of the CEO environment. You are confident handling sensitive information, managing competing priorities and working with discretion across a broad range of stakeholders.

Demonstrated experience in executive administration, office management or a comparable senior support role.

Exceptional organisational skills and attention to detail.

Strong written and verbal communication skills.

Experience managing diaries, travel and meeting coordination.

Confidence working with senior stakeholders and sensitive organisational matters.

Sound judgement, discretion and a high level of professionalism when dealing with confidential or sensitive matters.

A proactive, flexible and solutions‑focused approach.

A calm, capable and solutions‑focused mindset, with the confidence to anticipate needs and take initiative where required.

What's On Offer

The opportunity to be part of a small, high‑performing and supportive team, connected by purpose.

A role with variety, autonomy and direct exposure to the Office of the CEO.

Flexible work arrangements that support balance while maintaining the needs of the Office of the CEO.

Opportunities to contribute to meaningful national initiatives.

The chance to be part of an organisation with a longstanding commitment to improving the health and wellbeing of Australians.
