Job summary

City of Karratha is seeking an Executive Assistant to the Director Development Services who is highly organised and proactive, to provide high‑level executive support and to lead a small administration team.

You will manage the Director's diary, correspondence and workflow, coordinate meetings and reports, and drive continuous improvement across the Directorate.

This role supports delivering Council priorities and shaping how services are delivered to the community.

Qualifications

  • Experience providing high‑level executive or administrative support to a senior manager in a complex organisation.
  • Exceptional organisational and time management skills; ability to manage competing priorities and complex schedules.
  • Strong communication and interpersonal skills; able to build relationships with diverse stakeholders.
  • Advanced proficiency with Microsoft 365 for reports, presentations, agendas and minutes.
  • Ability to exercise discretion, maintain confidentiality and exercise sound judgement.

Responsibilities

  • Provide proactive executive support to the Director of Development Services, including diary management, correspondence, workflow coordination and stakeholder engagement.
  • Lead and support the Development Services Administration team to maintain service standards and efficiently manage workloads.
  • Coordinate meetings, reports and Directorate activities while maintaining accurate records and administrative systems.
  • Drive continuous improvement initiatives and oversee key administrative processes and financial administration activities.

What You’ll Do

  • Provide proactive executive support to the Director, including diary management, correspondence, workflow coordination and stakeholder engagement.
  • Lead and support the Development Services Administration team, ensuring workloads are effectively managed and customer service standards are maintained.
  • Coordinate meetings, reports, projects and Directorate activities while maintaining accurate records and administrative systems.
  • Drive continuous improvement initiatives and oversee key administrative processes, reporting requirements and financial administration activities.

  • Demonstrated experience providing high-level executive or administrative support to a senior manager, executive, director or leadership team within a complex organisation.
  • Exceptional organisational and time management skills, with the ability to manage competing priorities, coordinate complex schedules and consistently meet deadlines.
  • Highly developed communication and interpersonal skills, with the ability to build effective working relationships and engage confidently with a diverse range of internal and external stakeholders.
  • Advanced proficiency in Microsoft 365 applications, with experience preparing professional correspondence, reports, presentations, meeting agendas and minutes.
  • Proven ability to exercise discretion, maintain confidentiality and use sound judgement when handling sensitive information and executive matters.
