Job summary

Stealth Group Holdings is seeking an experienced Executive Assistant and Office Manager to support the CEO and assist the COO and CFO as required. You will coordinate executive priorities and run the Perth head office smoothly, with autonomy to anticipate needs and resolve issues.

The role combines executive support and day-to-day office management in a national business with a collaborative culture. Parking is available and the office is located north of the river in Perth.

Qualifications

• Experience supporting C-suite executives or managing offices for a multi-location or national operation.
• Strong written and verbal communication, with discretion handling confidential information.
• Ability to coordinate complex calendars, travel, meetings and board reporting.
• Demonstrated efficiency improvements, process development and cost control.

Responsibilities

We are looking for an Executive Assistant & Office Manager to join Stealth Group, a growing ASX-listed company with national operations, in a pivotal role combining executive support and office management.

Working primarily with the CEO and supporting the COO and CFO as required, you will coordinate executive priorities and take ownership of running our Perth head office smoothly. You will have the autonomy to anticipate needs, resolve issues and improve how things work.

About the Role

Executive Support

• Managing executives’ calendars, priorities and correspondence
• Coordinating meetings, conferences and travel arrangements
• Handling internal and external communications on behalf of executives
• Drafting, editing and proofreading documents and presentations
• Coordinating and preparing board reporting
• Managing special projects and initiatives as assigned by the executive team
• Handling sensitive and confidential information with discretion

Office Management

• Managing the day-to-day operations of the Perth head office
• Overseeing facilities, office equipment, supplies and maintenance
• Managing relationships with suppliers, contractors and service providers
• Coordinating purchasing, monitoring office expenditure and identifying cost efficiencies
• Developing and improving office procedures, administrative systems and document management
• Coordinating office moves, refurbishments and workplace projects
• Organising office events, team activities and company meetings
• Coordinating workspace setup, equipment and access for new starters
• Acting as the first point of contact for office enquiries and resolving operational issues
• Promoting a positive work environment and fostering teamwork

About You

You are an experienced Executive Assistant or Office Manager (ideally both) who takes pride in supporting senior leaders and running an organised, welcoming and efficient workplace. You are comfortable making decisions, juggling competing priorities and taking responsibility for getting things done.

You will bring:

• Experience managing a corporate office, ideally within a business with multiple locations or national operations
• Strong capability in facilities coordination, supplier management and office administration
• Board reporting experience, ideally within an ASX-listed company
• Excellent written communication, with strong drafting and proofreading skills
• Outstanding organisation, time management and attention to detail
• A continuous improvement mindset and a practical approach to systems and processes
• Sound judgement, integrity and absolute discretion with confidential information
• Commercial awareness and an understanding of what drives a successful business
• Resilience, a proactive problem-solving approach and a positive attitude
• Confidence working independently and engaging with people at all levels
