Housing Plus in Bathurst seeks an experienced Executive Assistant to support the Director Facilities, Assets and Development. You will manage complex calendars, coordinate meetings, travel plans, and high‑level administration for the executive team and Board.

Ideal candidates have 5+ years EA experience, exceptional communication, discretion with confidential information, and the ability to work independently in a fast‑paced, stakeholder‑driven environment in a NSW community services setting.

Qualifications

  • Excellent interpersonal skills with stakeholders including staff, board and partners.
  • Expert level written and verbal communication.

Responsibilities

  • Credit card reconciliations.
  • Assist with preparing internal and external reports.
  • Arrange complex travel plans and itineraries for the Executive Team.
  • Coordinate internal and external meetings, agendas, documents, minutes and follow-up actions.
  • Coordinate strategic activities for the Executive team and Board with another EA.
  • Manage signing, filing, document control and filing for the Executive team.
  • Coordinate conferences and sponsorships.
  • Support Development Team with high-level administration including PCGs and correspondence.
  • Communicate with external stakeholders and pass on information, coordinate diaries.
  • Support tender processes with timelines and document control.

Executive Assistant – Housing Operations and Development

Housing Plus is a leading NFP Community Services Provider with a 30 + year history, providing housing, domestic violence, homelessness and other community services in NSW. With offices in Orange, Bathurst, Mudgee, Dubbo and Parkes and services reaching the Central, Western and Hunter regions of NSW, our purpose is to achieve healthy, engaged and vibrant communities in which individuals enjoy opportunities to thrive and build a promising future for their families.

We are looking for a full-time Executive Assistant to support the Director Facilities, Assets and Development in Bathurst.

The Executive Assistant will:

Support the Director of Facilities, Assets and Development and other directors as required with daily administrative duties and complete a broad variety of tasks including:

  • Credit card reconciliations.
  • Assist with preparing internal and external reports.
  • Arrange complex and detailed travel plans and itineraries for the Executive Team.
  • Coordinate internal and external meetings, drafting agendas, compiling documents for meetings, take minutes and follow up actions.
  • Work closely with another Executive Assistant to coordinate strategic activities for the Executive team and the Board of Directors.
  • Coordinate documents for signing and filing and develop, maintain and promote document control and file management principles for the Executive team.
  • Coordinate conferences and sponsorships.
  • Support the Development Team with high level administration including coordinating PCGs and other meetings, preparing and reviewing correspondence, document signing and control.
  • Communicate with external stakeholders and partners to provide and pass on information, coordinate diaries.
  • Provide support to the Development Team and the broader tender writing team to ensure all aspects of the tender are progressing, timelines are met, keeping the team accountable for their deliverables, and maintaining document control.

To be successful, you will require:

  • Minimum 5 years’ experience working at an Executive Assistant level;
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners;
  • Expert level written and verbal communication skills;
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability;
  • Highly resourceful team-player, with the ability to also be extremely effective independently;
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment;
  • Forward looking thinker, who actively seeks opportunities and proposes solutions;
  • Capacity to be proactive, assertive, and work well under pressure or within tight time frames.
  • You will also need a current drivers license, ability to obtain a Police and WWC Check.
