Job description

Executive Assistant to Executive Director

Kanji Group is seeking an experienced Executive Assistant to provide dedicated 1:1 support to our Executive Director and owner across a diverse group of businesses.

This is a true right-hand EA role for someone who enjoys working closely with a senior leader, staying one step ahead and bringing structure to a busy and fast-moving environment.

You’ll manage a broad mix of executive and day-to-day support, from complex diary and inbox management through to travel, meetings, stakeholder coordination and an appropriate level of personal and family administration.

What you’ll do
  • Manage a busy and changing diary, inbox and competing priorities.
  • Coordinate domestic and international travel, meetings and logistics.
  • Prepare meeting materials, capture key actions and ensure follow-up.
  • Coordinate information and relationships across senior stakeholders and Group businesses.
  • Keep important commitments, actions and deadlines organised and moving.
  • Provide practical personal and family administration as required.
  • Handle confidential business and personal matters with absolute discretion.
What you’ll bring
  • Experience supporting an Executive Director, MD, CEO, business owner or C-suite leader.
  • Exceptional organisation and the ability to anticipate what’s needed.
  • Strong judgement and confidence working autonomously.
  • Excellent communication and stakeholder-management skills.
  • A calm, practical and hands-on approach in a fast-moving environment.
  • High levels of discretion, attention to detail and follow-through.
  • Experience in a multi-business, privately owned or family-office environment would be highly regarded.
The environment

We want to be upfront about the nature of the role. The Executive Director operates at pace, so there will be times when flexibility outside standard business hours is required, including occasional weekends.

Importantly, that flexibility works both ways, with significant flexibility and time back when the Executive Director is travelling or workload allows.

For the right person, this is an opportunity to build a trusted 1:1 working relationship, have exposure across a diverse group of businesses and take real ownership of an EA role.

Based in our Sydney CBD office, close to Martin Place Station.

If you’re an experienced EA who enjoys being the person behind the scenes keeping everything moving, we’d love to hear from you.
