The Executive Assistant provides high-quality, proactive and confidential support across Arkadia Property, People & Culture and Legal. The role is central to coordinating priorities, maintaining accurate records, supporting key business processes and ensuring leaders and teams are well organised and equipped to deliver.

Reporting to the Head of Asset Management and Group People & Culture Director, and supporting other senior stakeholders (from time to time). The role requires sound judgement, discretion, strong attention to detail and the ability to manage competing priorities across three business functions.

Key Responsibilities

Property Support

  • Provide high-level executive support to the Head of Asset Management, including diary management, meeting coordination, correspondence, briefings and travel arrangements.
  • Coordinate Property team meetings, agendas, papers and action items, ensuring key deliverables are followed through to completion.
  • Support the preparation and coordination of monthly reports, strategic asset plans, leasing and risk reports, budget reviews, and Executive and Board presentations.
  • Coordinate administration and workflow across the Property team, liaising with Property Managers, Leasing Executives, consultants, tenants, suppliers and other stakeholders.
  • Maintain Property registers, databases and records, ensuring information is accurate, current and readily accessible.
  • Prepare and manage reports, presentations, property documents, filing and information retrieval, while providing broader administrative and project coordination support as required.

People & Culture Support

  • Provide high-level executive support to the Group People & Culture Director.
  • Coordinate new starter onboarding, including pre-employment requirements, system and equipment setup, onboarding plans, Day One orientation and scheduled check-ins.
  • Liaise with IT, Payroll, hiring managers and internal stakeholders to ensure a seamless and welcoming onboarding experience.
  • Coordinate mandatory training and the People & Culture training calendar, including enrolments, attendance, compliance tracking, reminders and reporting.
  • Provide first-line support for Employment Hero and assist with system administration, workflows, forms, templates, Scorecards and performance review cycles.
  • Support recruitment for junior and support roles, including job advertising, interview coordination, candidate communications, reference checks and recruitment records.
  • Maintain employee resources, training and asset records, handbooks and P&C documentation, while providing general administrative and project support with appropriate confidentiality.

Other Executive Support & Reception

  • Provide executive support to other Executives as required, including leave coverage for Executive Assistants.
  • Manage reception and act as the first point of contact for visitors and incoming calls, providing a professional and welcoming experience.
  • Coordinate meeting rooms, catering and general office administration, ensuring shared spaces are well presented and day-to-day office operations run smoothly.

Skills and Experience

  • Experience as an Executive Assistant, Team Assistant or senior administrator supporting senior stakeholders.
  • Strong organisation, coordination and attention to detail, with the ability to manage competing priorities.
  • Advanced Microsoft Office skills and confidence learning new systems and technologies.
  • Excellent communication skills, professionalism and discretion.
  • Employment Hero or DocuSign experience is advantageous.
  • Property, legal, professional services or corporate experience is desirable.
  • Full right to work in Australia, proof of Residency/Citizenship.
