About Us

Tactical Tradie was established four years ago and is a leading education and coaching business helping tradies build thriving businesses — so they can have both the income and lifestyle they want for their families.

Founder Tom grew his own plumbing business in Melbourne to over 60 staff in five years, and now he’s on a mission to help other tradies do the same.

Our core team of four is based in a beautiful office in Minyama on the Sunshine Coast, supported by a broader network of contractors and coaches.

About the Role

You’ll be the right‑hand wing to CEO Tom.

Tom is a visionary, fast‑moving entrepreneur who doesn’t operate with rigid structures. He needs someone highly organised, proactive, and autonomous to anticipate needs, manage the details, and keep everything moving smoothly.

As a fully online business running across multiple IT platforms, we need someone tech‑savvy who can quickly learn new systems and adapt to change.

For the right person, this is an absolute dream opportunity to learn, grow, and shape your career in a fast‑growing business.

What You’ll Be Doing
1) Executive Support (about 20% of the role)

Taking the day‑to‑day admin off CEO Tom’s plate is critical, so he can stay focused on growing the business.

  • Manage the CEO’s calendar, inbox, and scheduling

  • Prepare meeting agendas, notes, and follow‑up actions

  • Coordinate travel and logistics

  • Keep the CEO focused on high‑value work

  • Support new projects, sales activity, and priority initiatives as they arise

2) Operations & Delivery Support (about 45% of the role)

Most of our content and coaching is delivered online, and this role owns a large part of the operational engine behind it.

  • Plan and manage the annual coaching and event calendar

  • Maintain internal workflows and operational systems

  • Own and optimise the Circle community platform (events, links, resources, structure, accuracy)

  • Manage all program materials created by the CEO — ensuring they’re submitted, tracked, and delivered on time

  • Upload and organise program materials inside Circle

  • Ensure weekly coaching calls and live events are fully prepared, including tech setup, coaches’ availability, resources, links, and run sheets

  • Support live coaching calls as the back‑end co‑host (breakout rooms, chat monitoring, support tasks, links, and call management). Coaching calls are mostly in the afternoons once or twice a week from 4:00–5:30 pm.

  • Hold coaches accountable for training, availability, preparation, and session readiness

  • Support rollout of new systems, delivery upgrades, and operational improvements

  • Keep the team aligned around deadlines, workflows, and upcoming work

3) Event Coordination (about 25% or the role)

We run multiple events across Australia each year, ranging from smaller member experiences (Golf Day in Sydney for 30 members) to one larger flagship event (50 plus delegates).

  • Book venues, catering, and suppliers

  • Build run sheets, checklists, and logistics plans

  • Manage registrations, attendee communication, and event administration

  • Oversee tech setup and smooth execution on the day

  • Coordinate bump‑in and bump‑out

  • Collect event feedback for continuous improvement

4) Digital & Tech Administration (about 5% of the role)

As a fully online business, we rely on multiple platforms and systems to keep everything running smoothly.

  • Troubleshoot tech issues quickly

  • Maintain SOPs, digital filing, and internal documentation

  • Learn and implement new systems efficiently

5) Internal Communication & Team Cadence (about 5% of the role)

Clear communication and strong cadence keep the team aligned, prepared, and moving in the same direction.

  • Coordinate internal meetings, agendas, and action tracking

  • Assist with recruitment admin and contractor onboarding

  • Maintain clear internal communication

  • Ensure the team is prepared for upcoming sessions, events, and deliverabless

You’ll Succeed in This Role If You…
  • You need to have 3+ years’ experience in events, admin, operations, or EA-style role (online/coaching environments highly regarded) to be looked at for this role

  • Are a self‑starter who thrives in fast‑paced, tech‑heavy environments

  • Are highly self‑motivated, you don’t wait for instructions; you figure things out. Follow‑through is your middle name.

  • Are tech‑savvy and comfortable learning new platforms quickly (we use Asana, Excel, Google Docs, Bloom Growth, Microsoft Suite, GoHighLevel, WordPress, Instagram, Circle)

  • Are organised and detail‑oriented, but practical - happy with 80% solutions when needed. You stay on top of things, let nothing fall through the cracks

  • Stay calm, resilient, and composed under pressure things can change quickly. You have a plan but you can adapt

  • Are friendly, personable, and able to work with a range of personalities
