Job summary

ICC Sydney is seeking a motivated Live Events professional to join our team as Event Manager, Live Events on a full-time basis to lead, plan and coordinate dynamic live events, with day, evening and weekend work.

Reporting to the Manager, Live Event Operations, you will coordinate deliverables, manage risks, oversee merchandise operations and ensure timely delivery; strong communication and stakeholder negotiation are essential.

Qualifications

• Valid RSO certificate required.
• Minimum 2 years of planning large-scale events (500+ guests).
• MS Office proficiency; Momentus experience advantageous.
• Excellent verbal and written communication.
• Ability to influence and negotiate with stakeholders.
• Willingness to work in a team and autonomously with minimal direction.
• Able to work rotating roster over 7 days.
• Valid Australian working rights; must be 18+.

Responsibilities

• Plan, coordinate and execute a range of events following ICC Sydney policies and standards.
• Be knowledgeable of all deliverables for assigned events; anticipate and manage challenges.
• Identify risks and opportunities to improve operational effectiveness of Live Event team.
• Coordinate interdepartmental paperwork for event execution and invoicing.
• Oversee merchandise operations for Live Events, including stock counts and liaison with promoters.

About this opportunity:

ICC Sydney are currently looking for a motivated and hardworking Live Events professional to join our extraordinary team as our Event Manager, Live Events on a Full-Time basis to assist in leading, planning and coordinating dynamic Live Events. This role will involve day, evening and weekend work, including late nights, in line with live event operational requirements.

Reporting to the Manager, Live Event Operations, in this role, you will:

• Plan, coordinate and execute a range of events, ensuring consistency and timely delivery that follows ICC Sydney policies, procedures and standards.
• Be knowledgeable of all deliverables for assigned events, anticipating and managing challenges and opportunities, communicating succinctly and concisely.
• With a CSI mindset, identify risks, concerns or areas of opportunity to improve overall operational effectiveness of the Live Event team across both event planning and delivery.
• Coordinate and distribute all interdepartmental paperwork necessary in a timely manner, complying with all hiring agreement requirements for the successful implementation of assigned events. These include but is not limited to event orders, briefing sheets, estimated cost invoices; finalisation of invoices; event reports and event settlement.
• Plan, coordinate and oversee the operational delivery of merchandise for all Live Events. These include but is not limited to providing estimates, ensuring efficient counting of the count in/out of stock, liaising with the promoter to decide on the most appropriate merchandising operations.

Required Skills & Experience:

• Valid Responsible Service of Alcohol certificate.
• Minimum 2-year experience in planning for large scale and multi-faceted events with 500+ guests in attendance.
• Working knowledge of Microsoft office package and Event Management systems (Momentus) is advantageous.
• Excellent verbal and written communication.
• Proven ability to influence and negotiate with key stakeholders.
• Willingness to work in a team and autonomously with minimal direction.
• Able to accept direction with a can-do attitude without compromising safety.
• Well organised with attention to detail and ability to work under pressure and meet deadlines.
• Ability to think strategically, with an analytical and creative approach to problem solving and creative solutions.
• Ability to work on a rotating roster over 7 days.
• Valid working rights in Australia.
• You must be 18 years or over.
