Job summary

Coengineer in Sydney is seeking an Estimator & Bid Coordinator to support end-to-end tendering and proposal processes.

Qualifications

  • Diploma or Bachelor’s Degree in Engineering, Construction Management, Quantity Surveying, Business, or a related discipline.
  • 2–5 years’ experience in estimating, bid coordination, tender administration, or proposal coordination within engineering, automation, construction, or related industries.
  • Proven experience in cost estimating and bid/proposal coordination.
  • Strong attention to detail and numerical accuracy.
  • Effective stakeholder and project coordination skills.
  • Advanced Microsoft Excel and document management capability.
  • Excellent organisation, time management, and communication skills.
  • Familiarity with Salesforce or similar CRM systems.
  • Experience with Jira/Confluence and Microsoft Project.
  • Exposure to ProjectWorks or similar project management tools.
  • Understanding of engineering project delivery and tendering processes.

Responsibilities

  • Coordinate end-to-end tender and proposal process, manage bid plans and submission schedules.
  • Collaborate with Engineering, Sales, Delivery, and Finance to gather inputs and support Go/No-Go meetings.
  • Ensure proposals are complete, compliant, and submitted on time, with smooth handover to delivery teams.
  • Prepare and manage pricing, estimate assumptions, exclusions, and commercial clarifications; maintain pricing databases.
  • Define and QA pricing and cost calculations to support competitive submissions.
  • Track tender opportunities and provide status updates; prepare tender summaries and documentation.

We are currently recruiting for an Estimator & Bid Coordinator to join our dynamic Sydney-based team. This role plays a critical part in supporting the end-to-end tendering and proposal process, ensuring accurate, compliant, and professionally presented submissions are delivered on time. You will work closely with the Marketing & Sales Manager and cross-functional teams, providing reliable estimating, pricing, and bid coordination support that contributes to profitable business growth.

We are looking for a go-getter with passion and drive who will be responsible for:

  • Coordinate the end-to-end tender and proposal process, including reviewing tender documentation and assessing submission requirements. Develop and manage bid plans, timelines, and submission schedules while administering the Go/No-Go approval process.
  • Collaborate with Engineering, Sales, Delivery, and Finance teams to gather required inputs, and schedule and support Go/No-Go meetings as needed. Prepare and manage clarification documentation under the direction of the Marketing & Sales Manager.
  • Ensure all proposals are complete, compliant, and submitted on time, and support the smooth handover of awarded contracts to project delivery teams.
  • Collate resource requirements from Engineering and Delivery teams to prepare accurate project cost estimates and complete costing sheets. Develop pricing schedules in line with company standards and obtain and evaluate supplier, subcontractor, and vendor quotations as required.
  • Define estimate assumptions, exclusions, and commercial clarifications to support competitive submissions, while performing quality assurance checks on all calculations and pricing. Maintain pricing databases and historical tender information to support ongoing and future estimating activities.
Proposal Development & Administration
  • Compile, coordinate, and manage proposal documentation and supporting materials, ensuring accurate document control, version management, and submission records. Maintain and continuously improve estimating templates, pricing databases, bid registers, and proposal documentation.
  • Track tender opportunities and provide regular status updates on active bids, while preparing tender summaries and collating contract documentation for review by the Marketing & Sales Manager and leadership team. Ensure all submissions consistently present the company's technical capability and value proposition in a professional manner.
  • Support the Marketing & Sales Manager in preparing information for Go/No-Go decisions. Participate in post-tender reviews and continuous improvement initiatives, capturing lessons learned from both successful and unsuccessful submissions. Perform ad hoc duties as required.
The successful applicant will have:
