Job summary

Tropic Petroleum is seeking a Depot Administration professional for the Distribution Division in South Townsville. The role supports all distribution admin functions, including taking phone orders, invoicing, and daily reconciliation of fuel and lube stock.

38-hour week with varying hours to meet operational needs. Based at the Hubert Street depot, you will handle documentation, payments, and deliveries while maintaining accurate records and strong customer service.

Qualifications

• Valid driver license is mandatory.
• Proficiency with Microsoft Outlook.
• Experience with Microsoft Office and Excel.
• Strong communication and phone manner.
• Ability to liaise with internal and external customers.
• Experience in administrative roles, preferably in transport or fuel industry.

Responsibilities

• Answering the phone and processing a high volume of customer orders and inquiries.
• General office duties: phones, emails, scanning, printing, filing, data entry.
• Create delivery dockets, invoices and process credit card payments.
• Process bulk fuel and lube deliveries; balance/stock transfers between sites.
• File original documentation, invoices and dockets.
• Greet customers and handle inquiries; provide cover for staff on leave.

Depot Administration - Distribution Division

Tropic Petroleum is a locally owned and operated business with strong ties to our local region. Distributing fuel in North Queensland since 1968, Tropic is the only independent family owned petroleum distribution company left in North Queensland. Tropic supply high-quality fuels and lubricants and is Northern & Western Queensland's authorised Ampol Distributor.Additionally, we also operate many service stations throughout Northernand Western Queensland.

About the role

Depot Administration - Distribution Division

Based at our Truck port at the Hubert Street depot at South Townsville, this role supports all aspects of the company's distribution support functions. Including taking phone orders, accurate and timely processing of fuel and lube invoices for customers and the daily reconciling of fuel. Filing original documentation/ invoices/ dockets.The role is a permanent full time position.

Ordinary hours of work are 38 hour week, between:

• 8.00am – 4.00pm – Tuesday to Friday.

Ordinary hours of work may vary from the above from time to time depending on the operational requirements of the business and other staff on leave .

Key responsibilities

• Answering the phone and processing a high volumes of customer orders and quires.
• General office duties, phones, emails, scanning, printing, checking off paperwork, data entry, use of Microsoft office, filing.
• Creating delivery dockets, invoices and taking credit card payments.
• Processing bulk fuel and lube deliveries
• Entering bulk fuel and balancing/ stock transfers between sites.
• Filing original documentation/ invoices/ dockets.
• Greeting walking customers and quires.
• Provide cover for staff who are on leave.

Skills and experience

• Driver License (mandatory).
• Proficient with Microsoft Outlook (mandatory).
• Above average and previous experience using Microsoft Office and Excel.
• Strong communication skills & pleasant phone manner.
• Ability to liaise with customers both internal and external.
• Previous experience in a administrative.
• Previous experience in Transport/ fuel industry is highly desirable
• Strong attention to detail, dependable and great work ethic.
