We are looking for an experienced, highly organised and proactive Customer Service & Office Administrator who takes pride in their work and brings a strong commitment to customer service, accurate administration and team support.
About Us
Young & Rashleigh Wine Merchants is an established Australian wine distributor representing a diverse portfolio of Australian and international wineries. We work closely with our winery partners and customers across the hospitality and retail sectors, supported by a small and dedicated team across Sales, Marketing, Operations and Accounts. We are passionate about the wines and producers we represent, but wine industry experience is not essential.
About the Role
Working closely with the Operations Manager and supporting Sales, Marketing and Accounts, you’ll be a reliable and proactive member of the team who takes ownership of your responsibilities and brings a positive, hardworking approach to each day. Your responsibilities will include:
Providing professional, friendly and responsive customer service by phone and email.
Processing customer orders accurately and efficiently and following enquiries through to completion.
Managing orders, stock availability, delivery enquiries and other day-to-day customer requirements.
Supporting the Sales team with customer, order, stock, sample and general administrative requirements.
Liaising with our 3PL warehouse and transport providers regarding orders, dispatches, deliveries, freight issues and stock movements.
Investigating delivery, freight and stock issues and assisting with their resolution, keeping customers and relevant team members informed.
Staying ahead of routine administrative requirements, recurring tasks and deadlines.
Providing broader administrative support across the business, including assisting Accounts, Marketing and Sales Support as required.
Proactively maintaining customer databases, records, spreadsheets and internal systems, ensuring information remains accurate and up to date.
Learning existing processes and contributing practical ideas to improve efficiency, accuracy and workflow.
Taking ownership of your responsibilities and following tasks through to completion.
About You
You are reliable, highly organised and proactive, able to prioritise, work under pressure and meet deadlines with accuracy and attention to detail. You’ll work confidently and independently, using initiative to stay ahead of what needs to be done and be a dependable part of getting each working day underway.
Wine industry experience is not essential. Experience in FMCG, wholesale, distribution, logistics or a customer-focused business with 3PL and transport exposure would be highly regarded.You will ideally bring:
Previous experience in customer service, office administration or a similar support role.
Experience dealing with 3PL warehousing and transport providers.
A strong customer-centric attitude combined with good commercial awareness.
Excellent written and verbal communication skills.
Strong organisational, prioritisation and time-management skills.
Confidence using databases, spreadsheets and general business systems.
Excellent attention to detail and accuracy.
The ability to remain calm and productive when workloads and priorities change.
Initiative and a proactive approach to your responsibilities.
A willingness to learn and understand how different areas of the business work together.
An interest in improving processes and finding more efficient ways of working.
A strong work ethic, honesty, reliability and a positive attitude.
