Apollo Patios is seeking a Customer Service Coordinator to manage key customer accounts and coordinate daily manufacturing schedules in a fast-paced environment. You will work with Customer Service, Purchasing, Despatch and Factory teams to ensure orders are delivered on time and to high standards.

You’ll contribute to systems and process improvements, maintaining accurate data and providing proactive support across order processing, invoicing and supplier coordination.

Qualificações

• 2-3 years’ experience in a similar customer service and administration support role (manufacturing or warehouse environment preferred).
• Proficient in MS Office applications, particularly Word and Excel.
• Strong communication and relationship-building skills with a proactive approach.

Responsabilidades

• Process customer orders, invoicing, purchase orders, transport bookings and general administration.
• Provide administrative support to the warehouse to ensure timely order fulfilment.
• Create supplier purchase orders and assist with procurement of outsourced items.
• Maintain clear communication with customers, internal teams and suppliers regarding orders and stock movements.
• Enter and maintain accurate data in company systems.
• Act as the primary contact for key customer accounts and build strong relationships.
• Respond to enquiries and resolve issues with timely, effective solutions.
• Receive, review and process orders via the Apollo Order Portal and ERP system.
• Track orders through to delivery and coordinate scheduling for factory runs.

Due to continued growth, we are seeking an experienced Customer Service Coordinator to join our Customer Service Team and play a critical role in customer support, order coordination, and production planning.

This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in delivering a seamless customer experience from order placement through to delivery.

About the Role

You will be responsible for managing key customer accounts while also coordinating daily manufacturing schedules. You will work closely with Customer Service, Purchasing, Despatch, and Factory teams to ensure orders are delivered in full, on time, and to Apollo’s high standards.

You’ll also be a key contributor to systems and process improvements, helping drive efficiency across the business.

Key Responsibilities

• Process customer orders, invoicing, purchase orders, transport bookings and general administration
• Provide administrative support to the warehouse to ensure accurate and timely order fulfilment
• Create supplier purchase orders and assist with procurement of outsourced items
• Maintain clear communication with Customers, BDMs, Warehouse, Transport and Suppliers regarding orders, deliveries and stock movements
• Enter and maintain accurate data in company systems
• Act as the primary point of contact for key customer accounts, building strong working relationships
• Respond to customer enquiries, complaints and issues, providing timely and effective resolutions
• Receive, review and process orders via the Apollo Order Portal and ERP system
• Track orders through to delivery, resolving any issues that arise
• Coordinate manufacturing schedules and work orders for the Factory machine runs and order packing
• Represent Apollo Patios professionally while promoting company values and workplace health and safety

About You

• You are a proactive, organised professional with strong customer service and coordination skills. You’re not afraid to pick up the phone and are comfortable working with both customers and internal teams.
• 2-3 years’ experience in a similar customer service and administration support role (manufacturing or warehouse environment preferred)
• Willingness to be proactive, efficient and upskill, and be resilient and adaptable to changes in processes and technology systems
• Superior administrative skills, with proficiency in MS Office applications, particularly Word and Excel
• As a confident communicator, you will have strong communication and relationship-building skills with a positive and enthusiastic approach
• Highly organised, accurate and strong attention to detail, while multitasking ability
• Confidence using ERP systems, POD systems and CRM systems and order processing software.
