Job summary

Cool Car Air Conditioning is seeking a Customer Service Consultant to join our Urangan team in Queensland. This full-time role is the primary touchpoint for clients, handling enquiries, processing orders and payments, and ensuring accurate records.

You will work with the technical team to deliver high-quality service, maintain client databases, and support the sales team with follow-ups. A proactive, detail-oriented mindset and proficiency in Xero are highly valued.

Qualifications

• Attention to detail with accurate data entry and record keeping; proficiency in Xero is a must.
• Strong communication and interpersonal skills to engage customers effectively.
• Proven experience in a customer service, sales administration or client-facing role.
• Excellent organisational and time management abilities and proficiency with office software.

Responsibilities

• Respond to customer enquiries via phone, email and other channels in a timely, professional manner.
• Process customer orders and payments accurately and securely.
• Provide product information and recommendations based on customer needs.
• Maintain detailed customer records and update the client database.
• Resolve complaints and escalate complex issues when necessary.
• Coordinate with the technical team to ensure high-quality service.
• Support sales with client follow-ups and retention initiatives.
• Provide quotes and cost estimates for air conditioning services as required.
• Bookkeeping and reconciliation in Xero, creating credit notes for trade customers.

This is a full-time position that plays a crucial role in delivering exceptional customer experiences and supporting the operational efficiency of our business. As a Customer Service Consultant, you will be the primary point of contact for our valued clients, handling enquiries, managing orders, and ensuring every customer interaction reflects our commitment to excellence in automotive air conditioning services.

Key responsibilities

• Attention to detail with strong accuracy in data entry and record keeping (Proficiency in Xero is a must)
• Responding to customer enquiries via phone, email and other communication channels in a professional and timely manner
• Processing customer orders and payments accurately and securely
• Providing product information and recommendations to customers based on their specific requirements
• Maintaining detailed customer records and updating our client database with current information
• Resolving customer complaints and concerns promptly, escalating complex issues when necessary
• Coordinating with the technical team to ensure customers receive high-quality service
• Performing administrative tasks including data entry, filing and general office duties
• Supporting the sales team with client follow-ups and customer retention initiatives
• Providing quotes and cost estimates for air conditioning services as required
• Bookkeeping and reconciliation in Xero, creating credit notes for trade customers
• Strong communication and interpersonal skills with the ability to build rapport with customers
• Proven experience in a customer service, sales administration or client-facing role
• Excellent organisational and time management abilities
• Proficiency with computer systems and office software, including email and scheduling applications
