Job summary

Western Power is seeking a Contract Assistant to support contract administration and commercial standards across local, interstate and overseas projects. Located at the brand-new South Metro Depot in Forrestdale, the role emphasizes timely, quality, and scoped contractual support.

You will manage filing systems, prepare correspondence, coordinate databases, and handle contract variations while ensuring audit readiness and robust documentation. Join a diverse team driving energy transition.

Qualifications

  • Completion of year 12 with English & Mathematics.
  • Experience in the commercial contract management and administration field.
  • Must have a working knowledge of the general structure and requirements of the AS4000 series of contract conditions.
  • Financial management systems and contract payments including contract variations.
  • Contemporary filing systems and document management with emphasis on security and retention of contract documentation.
  • Maintaining a database and have the skills to produce reports as required.
  • High level of understanding, experience and accuracy in document preparation.

Responsibilities

  • Manage contract management filing systems and document retention system.
  • Prepare contractual correspondence to contractors and suppliers for related projects.
  • Coordinate and manage the contract and specification database to meet audit requirements.
  • Have a working knowledge of the AS4000 contract conditions.
  • Schedule and plan daily and weekly allocated work and prioritise tasks.
  • Identify opportunities for significant improvements in all work areas.
  • Manage and maintain commercial and administrative contract records within a team.
  • Process material requisitions and coordinate ordering of project materials.
  • Raise and administer Purchase Orders to support project delivery activities.
  • Prepare, process and manage contract variations after approval.
  • Monitor and maintain project financial and contractual records.
  • Close work orders after project completion and verify contractual requirements.

Job description

The Contract Assistant will be responsible for facilitating the delivery of effective contract administration services to support the objectives of the business strategy, consistent with accepted commercial standards including timelines, quality, and scope and client satisfaction. To prepare contractual correspondence to contractors and suppliers (local, interstate and overseas).

This role is based at our brand-new state-of-the-art South Metro Depot in Forrestdale, conveniently located next to Tonkin Highway. Spanning across 120,000 square meters. With the latest infrastructure and technology, the depot empowers all employees to create that perfect work-life balance whilst operating in an inclusive and diverse workplace.

Your Role in Action
  • Manage contract management filing systems and be able to manage the contracts document retention system.
  • Prepare contractual correspondence to contractors and suppliers (local, interstate and overseas) for related projects.
  • Coordinate and manage the contract and specification database to meet audit requirements.
  • Prepare contractual correspondence to contractors and suppliers (local, interstate and overseas) for related projects.
  • Have a working knowledge of the general structure and requirements of the AS4000 series of contract condition.
  • Scheduling and planning your own daily and weekly allocated work; Prioritise work to ensure individual and team goals and target are met.
  • Identifying opportunities for significant and step change improvements in all aspects of the required work;
  • Manage and maintain all commercial and administrative contract records for related projects within a team;
  • Process material requisitions and coordinate the ordering of project materials in accordance with approved requirements.
  • Raise and administer Purchase Orders (POs) to support project delivery activities.
  • Prepare, process, and manage contract variations following approval by the Contract Delivery Specialist.
  • Monitor and maintain project financial and contractual records, ensuring information is accurate and up to date.
  • Close work orders upon completion of project activities and verify all contractual and administrative requirements have been satisfied.
  • Prepare and issue Completion Certificates and other close-out documentation in accordance with contractual obligations.
