Job summary

Delta is seeking an experienced Construction Administrator / Contracts Administrator to join our Tuggerah team, taking ownership of contractual, procurement and administrative processes for residential construction projects.

You’ll work with management, PMs and site supervisors across the full project lifecycle—from establishment and subcontractor procurement to progress claims, variations and final handover.

Qualifications

Responsibilities

  • Administer client contracts and subcontract agreements.
  • Review plans, specs, scopes and project documentation.
  • Prepare subcontractor trade packages and scopes of work.
  • Issue RFQs and obtain competitive pricing.
  • Review quotations for pricing, inclusions and scope gaps.
  • Assist with subcontractor negotiations and procurement.
  • Prepare contracts, purchase orders and work orders.
  • Maintain procurement schedules and ensure packages align with programs.
  • Manage variations, progress claims and contractual correspondence.
  • Prepare client progress claims and supporting documents.
  • Coordinate client funding and payment releases as required.
  • Review invoices against scopes and completed work.
  • Support project cost tracking, reporting and forecasting.
  • Manage RFIs and information flow between clients, consultants and team.
  • Maintain licences, insurances and compliance documentation.
  • Assist with project close-out, final accounts and handover.
  • Identify commercial or administrative issues before they affect delivery.

Some hybrid flexibility may be considered for the right applicant. Overseas applicants requiring sponsorship will not be considered.

The Role

Your responsibilities will include:

  • Administering client contracts and subcontract agreements;

  • Reviewing plans, specifications, scopes and project documentation;

  • Preparing subcontractor trade packages and scopes of work;

  • Issuing RFQs and actively obtaining competitive subcontractor and supplier pricing;

  • Reviewing and comparing quotations, including pricing, inclusions, exclusions and scope gaps;

  • Assisting with subcontractor negotiations, procurement and project buyout;

  • Preparing Quote Requests, subcontract agreements, purchase orders and work orders;

  • Maintaining procurement schedules and ensuring packages are let in line with construction programmes;

  • Managing variations, progress claims, extensions of time and contractual correspondence;

  • Preparing client progress claims, invoices and supporting documentation;

  • Coordinating client funding and payment releases where required;

  • Reviewing subcontractor invoices against agreed scopes and completed works;

  • Supporting project cost tracking, reporting and forecasting;

  • Managing RFIs and coordinating information between clients, consultants, certifiers, subcontractors and the project team;

  • Maintaining subcontractor licences, insurances, compliance documentation and company registers;

  • Supporting project close-out, final accounts and handover; and

  • Identifying commercial, contractual, procurement or administrative issues before they affect project delivery.

There will also be some broader business administration responsibilities, including staff and subcontractor onboarding, compliance registers and fleet administration.

What We're Looking For

Ideally, you'll have:

  • Experience in residential construction administration, contract administration or project administration;

  • A practical understanding of Class 1 residential construction;

  • The ability to read and understand construction drawings, specifications and scopes;

  • Experience obtaining and comparing subcontractor and supplier quotations;

  • Experience with subcontractor procurement and trade packages;

  • Experience administering variations, progress claims and subcontract agreements;

  • Good commercial awareness and an understanding of project costs;

  • Strong organisation, communication and document management skills;

  • Confidence dealing directly with subcontractors, suppliers, clients and consultants; and

  • The ability to manage multiple projects and competing priorities.

Experience with estimating, procurement, cost control, NSW Security of Payment legislation or commercial construction contracts will be highly regarded.

Formal construction qualifications are advantageous, but demonstrated residential construction experience and capability are equally important.

The Person

We're looking for someone who takes ownership and follows things through.

You’ll be comfortable picking up the phone and chasing subcontractor pricing, identifying when quotes aren't genuinely like-for-like, following up outstanding information and asking questions when something doesn't look right.

You’ll naturally be thinking:

What is outstanding, who owes us information, what still needs to be procured, and what needs to happen next to keep the project moving?
