As the Commercial Assistant you will be a key support to the Leasing Manager, assisting with leasing administration, commercial documentation, contract coordination, compliance tracking, and stakeholder management across our property portfolio.
You will work closely with internal stakeholders, including our in-house legal team, tenants and contractors, helping to ensure the smooth coordination of leasing, projects and commercial activities. This role offers exposure to a broad range of commercial property operations and is well suited to someone looking to further develop their career within the property, leasing, or commercial sectors.
Provide administrative support to the Leasing Manager and broader commercial team.
Coordinate leasing and commercial administration activities across the property portfolio.
Prepare, review and manage commercial documentation including leases, licences, agreements, correspondence and reports.
Liaise with the in-house legal team to facilitate lease preparation, execution, renewals and related documentation.
Support with regular site inspections across the commercial portfolio to identify maintenance issues, risks and general presentation requirements.
Assist with preventative maintenance planning to help identify issues early and reduce reactive repairs.
Support the coordination of reactive maintenance, including contractor engagement, access, follow-up and close-out of works.
Assist with capital works, refurbishments and property improvement projects across the portfolio.
Support tender and quotation processes, including preparing scopes, obtaining contractor pricing, coordinating site meetings and comparing submissions.
Liaise with contractors, tenants, consultants and internal stakeholders throughout maintenance and project works.
Assist with tracking project timelines, costs, work orders and outstanding actions.
Help monitor contractor performance and ensure works are completed to the required standard and within agreed timeframes.
Provide broader operational support to the Commercial team across property maintenance, projects and asset improvements.
Coordinate communication between landlords, tenants, contractors, consultants and other stakeholders.
Manage enquiries and ensure timely follow-up of leasing and commercial matters.
Previous experience in an Executive Assistant, Commercial, Property or Leasing Administrator, Legal Assistant, or similar role.
Experience working within commercial property, real estate, legal, professional services, or related industries highly regarded.
Strong understanding of administrative processes, document management and stakeholder coordination.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
Ability to manage competing priorities and meet deadlines.
High level of attention to detail and accuracy.
Strong problem-solving and critical thinking skills.
Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel and PowerPoint.
