Job summary

Veterinary Referral Hospital Dandenong is seeking a Client Services Representative for a part-time 28hrs/week maternity leave contract starting January 2027. You will be the first contact for clients, managing a multi-line switchboard, handling inquiries, and coordinating appointments, while providing clear information on services and policies.

Evening and weekend availability is required to support our busy practice.

Qualifications

Responsibilities

Client Services Representative

Are you passionate about animals and providing outstanding customer service? Veterinary Referral Hospital Dandenong is seeking a Client Services Representative to join our team.

In this role you'll be the first point of contact for our clients, playing a vital role in ensuring a smooth and supportive experience for both pets and their owners -particularly in urgent and high-pressure situations. We're looking for someone who is reliable, adaptable, and able to remain calm and professional at all times.

Key Responsibilities

• Act as the first point of contact for all client interactions, both in person and over the phone
• Manage a multi-line switchboard, including handling high volumes of calls efficiently
• Triage and respond appropriately to emergency patient enquiries, escalating when required
• Coordinate appointments, inquiries, and client communications
• Maintain accurate client records and documentation
• Provide clear information on services, pricing, and hospital policies
• Liaise with veterinary staff to support seamless patient care
• Process payments and handle basic financial transactions
• Ensure the reception area is clean, organised, and welcoming
• Assist with general administrative tasks as required

• Previous experience in a client service role (veterinary or healthcare experience highly regarded)
• Confident managing a busy switchboard and high call volumes
