Job summary

Epiroc, located in Perth, WA, is seeking a Client Experience & Operations Administrator to coordinate reception, client experiences, and training activities. You will manage room bookings, attendee tracking, and promotional materials while supporting events and venue hire.

You will ensure smooth daily facility operations, act as the main contact for visitors, and contribute to revenue through course promotion and strong customer service.

This role will serve as the central point of coordination for reception, client experience, and operational administration. Responsibilities will include managing training room bookings (internal and external), coordinating course logistics and attendance tracking, issuing training certifications, supporting events and workshops, maintaining promotional materials, and overseeing day-to-day facility readiness (including room setup, catering coordination, and consumables management). The role will also act as the primary contact for visitors, welcoming guests, managing enquiries, and facilitating seamless client experiences, while supporting revenue generation through course promotion and external venue hire.

Key Responsibilities of the role:

  • Serve as the first point of contact for all visitors, providing a professional welcome and guidance
  • Manage reception area operations, ensuring consistent coverage and presentation
  • Conduct visitor inductions and ensure all attendees sign in and out
  • Respond to enquiries (in person, phone, and email) in a timely and professional manner
  • Coordinate training room bookings for internal and external sessions
  • Track course attendance, follow up on absentees, and update clients
  • Issue and distribute training certificates
  • Maintain and update training centre promotional materials
  • Provide overflow administrative support to the PSD Team as required
  • Prepare training rooms for courses, workshops, and conferences (set-up and reset)
  • Support the delivery of events, acting as host and ensuring presenters and attendees are supported
  • Coordinate catering orders and manage daily setup/pack-down for training sessions
  • Ensure training spaces, reception, and kitchen areas are maintained to a high standard
  • Promote training courses to walk-in clients and support enrolments
  • Manage external venue hire enquiries, including gathering requirements, preparing quotes, raising invoices, and issuing confirmations
  • Identify opportunities to enhance client experience and drive revenue generation
  • Order and manage stationery, consumables, and merchandise
  • Receive and distribute deliveries for the Training Centre and remote sessions
  • Ensure adherence to opening and closing procedures for the facility
