Job summary

GPT Group is seeking a Centre Administration Manager to join the Pacific Fair Shopping Centre management team on a 10 month fixed term contract. Located on the Gold Coast, Pacific Fair is a premier shopping, dining and entertainment destination.

The role oversees all centre-based administrative functions and provides cross-disciplinary support within the centre management team, with a focus on service, organisation and efficiency.

Qualifications

  • Prior experience in an Administration role within a commercial environment is highly regarded.
  • Excellent attention to detail with the ability to manage multiple projects.
  • Strong communication skills and proficiency with MS Office; exposure to SAP, CTI and Salesforce is advantageous.

Responsibilities

  • Managing the Centre Management office – reception/front of house duties, greeting visitors, answering phones, ordering stationery, maintaining kitchen amenities, managing meeting rooms and mail.
  • Raising invoices, receipts and purchase orders and entering details into finance systems.
  • Preparing calculations for various income streams such as turnover rent, extended trade, mailbox income, hoarding fees, de-fits, interest and surrender income.
  • Preparing centre communications for tenants and stakeholders including letters of demand and breach notices.
  • Processing lease assignments and issuing the assignment pack and related correspondence.

The role

We are seeking a Centre Administration Manager to join the management team at Pacific Fair on a 10 month fixed term contract

With over 400 stores to explore, Pacific Fair Shopping Centre is the Gold Coast's iconic shopping, dining and entertainment destination, located right in the heart of Broadbeach.

The Centre Administration Manager is responsible for the management of all centre based administrative functions and is required to provide support across multiple disciplines within the centre management team.

What you will be doing
  • Managing the Centre Management office – reception/Front of House duties, greeting visitors, answering phones, ordering stationery, maintaining kitchen amenities, managing meeting rooms and in/out going mail.
  • Raising invoices, receipts and purchase orders as required and entering details into finance systems for processing.
  • Preparing calculations for various incomes streams, this may include turnover rent, extended trade, mailbox income, hoarding fees, de-fits, interest, surrender income etc. as per management request
  • Preparing centre communications for distribution to tenants and other stakeholders as requested. This includes issuing and filing letters of demand and breach notices.
  • Processing lease assignments, including issuing the assignment pack and associated correspondence, ensuring required forms are obtained prior to or at settlement of the business.

Your prior experience in an Administration role, within a commercial environment would be highly regarded combined with well-honed problem solving skills and a high level of initiative.

Your excellent attention to detail, coupled with an ability to manage multiple projects and tasks and to build effective working relationships will help you succeed in this role.

You will also need exceptional communication skills and have strong skills across the MS Office suite Adobe Acrobat and exposure to other software such as SAP, CTI, and Salesforce would be an advantage.

This role would suit a service focused and flexible individual, who is solution oriented and wishes to grow their administration skills in asset management.
