Job summary

Deluxe Cleaning is seeking a proactive Business Operations & Systems Coordinator to partner with our Business Manager. The role focuses on implementing and optimising operational systems, driving process improvements and leveraging automation and AI to boost efficiency.

You will manage digital records, coordinate IT requirements, prepare client proposals and support workforce resourcing across construction projects. A strong Microsoft 365 skillset and a solutions-focused mindset are essential.

Qualifications

  • Experience in business operations, administration or office coordination (construction industry highly regarded).
  • Tech-savvy and digitally confident with strong Microsoft 365 skills and ability to quickly learn new systems.
  • Confident using AI and digital tools to improve workflows, productivity and business processes.
  • Experience with system implementation, process improvement, automation and AI tools.
  • Highly organised and deadline-driven with strong attention to detail and accuracy.
  • Proactive and solutions-focused with initiative to identify better ways of working.
  • Ability to work autonomously, manage competing priorities and take ownership of outcomes.
  • Strong written and verbal communication skills.
  • Professional, dependable and team-oriented with a positive approach.

Responsibilities

  • Implement and optimise operational systems, digital tools and platforms.
  • Identify and implement process improvements, utilise automation and AI to streamline workflows and improve business efficiency.
  • Maintain systems, digital records, databases, spreadsheets and reporting tools.
  • Manage cloud-based filing systems and coordinate workplace IT requirements.
  • Prepare and issue EOIs to clients, capability documents, presentations and client proposals.
  • Coordinate client requests, project inductions, site bookings and operational requirements.
  • Maintain WHS systems, safety documentation and compliance actions.
  • Maintain SOPs, policies, procedures and internal business resources.
  • Coordinate workforce resourcing, administration and training presentations.
  • Prepare reports and documentation, coordinate meetings and follow up action items with the team.
  • Manage merchandise, office supplies, suppliers, ordering and stock levels.
  • Drive internal communications, team engagement and workplace events that contribute to a strong workplace culture.
  • Maintain an organised, welcoming and positive office environment.
  • Provide general administrative and operational support across the business.

Business Operations & Systems Coordinator - Construction

At Deluxe, we specialise in premium construction cleaning solutions for Australia’s top-tier building companies. For over 26 years, we've cleaned some of the country's most iconic places and spaces, across a wide range of sectors.

Our diverse portfolio includes work on major projects, such as the Sydney Metro, luxury hotels, high-rise residential and commercial towers, hospitals, universities, major sporting venues, data centres and government & defence facilities.

The Opportunity

We are looking for a highly capable and tech-savvy Business Operations & Systems Coordinator to work closely with our Business Manager and help drive systems, processes and operational improvements across the business.

This role is ideal for someone who is naturally curious, digitally confident and quick to learn new technology. You’ll work across business operations, systems, projects, workforce initiatives and continuous improvement—using technology, automation and AI tools to simplify processes, improve efficiency and keep the business moving forward.

You’ll be proactive, resourceful and solutions-focused, with the ability to navigate different systems, identify better ways of working and turn ideas into action.

The Role

Your responsibilities include:
