Job summary

Surf Life Saving NSW in Belrose, NSW, Australia is seeking a Bookings & Administration Officer to join the Community Education team on a part-time contract through to June 2027. You will manage bookings, coordinate staff and resources, and provide essential admin support to education programs and events.

The role requires strong organisational and communication skills, experience in bookings coordination, and proficient use of MS Office. Hybrid working options and employee benefits are available.

Responsibilities

  • Maintain accurate booking, evaluation and stakeholder data.
  • Liaise with clients, stakeholders and casual staff to support program delivery.
  • Manage administrative processes, correspondence, filing and documentation.
  • Process quotations, invoices and timesheet administration.
  • Monitor and maintain program resources and equipment, including stocktakes.
  • Provide general administrative and project support to the Community Education team.
  • Assist with quoting requirements and equipment ordering in a timely manner.

About the role
We are seeking a Bookings & Administration Officer to join our Community Education team in a part-time contract position based in Belrose NSW 2085. This role is pivotal in supporting our community education programmes by managing bookings, coordinating administrative functions, and ensuring seamless delivery of our vital water safety initiatives. You will be instrumental in connecting our communities with life-saving education and support, working as part of a team committed to making a genuine difference in water safety across NSW.

Key responsibilities
  • Serve as the first point of contact for enquiries, delivering high-quality customer service to stakeholders, schools, councils, community groups and casual educators.
  • Coordinate bookings, including the allocation of casual staff, resources and equipment.
  • Maintain accurate booking, evaluation and stakeholder data, ensuring records are up to date and reliable.
  • Liaise with clients, stakeholders and casual staff to support the smooth delivery of education programs and events.
  • Manage administrative processes, correspondence, filing systems and documentation to support day-to-day operations.
  • Process quotations, invoices and timesheet administration, ensuring accuracy and timely completion.
  • Monitor and maintain program resources and equipment, including stocktakes and distribution for events and bookings.
  • Provide general administrative, clerical and project support to the Community Education team as required.
  • Assist team with quoting requirements and equipment ordering in a timely manner.
About you

To be successful in this role, you will have:

  • Proven experience in an administrative or bookings coordination role
  • Exceptional customer service and stakeholder engagement skills.
  • Strong written and verbal communication abilities.
  • High levels of accuracy, attention to detail and organisation.
  • The ability to multitask, prioritise workloads and meet deadlines.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel and Outlook.
  • A proactive, self-motivated approach and the ability to work both autonomously and as part of a team.
  • Experience using FoundU or similar rostering software (desirable).
