Job summary

Geosurv is seeking a sharp BID Coordinator who thrives on organisation and wants to play a genuine role in helping us win new opportunities. You will take ownership of the bid coordination process, help manage our pipeline of opportunities and work closely with our operational and senior leadership teams to turn opportunities into successful projects.

You will coordinate end-to-end tender submissions and manage the opportunity pipeline across Locating & Mapping and Investigations & Maintenance,

Qualifications

• Experience in construction, civil infrastructure, utilities, or related industry.

The Opportunity

Reporting into our General Manager – Utilities, you will play an important role in coordinating bids, managing tender submissions and supporting our business development activities.

You will work across our Locating & Mapping and Investigations & Maintenance operations, helping capture, identify, track and progress opportunities from initial enquiry through to tender submission and handover.

You will have the opportunity to take real ownership of the process, build strong relationships across the business and contribute directly to our continued growth.

What You Will be Doing:

• Coordinate end-to-end tender and bid submissions, ensuring they are accurate, professional, competitive and delivered on time.
• Take ownership of our tender and opportunity pipeline, ensuring upcoming bids, deadlines and actions are actively managed.
• Maintain and manage our CRM system, Pipedrive, ensuring opportunities are tracked and information remains accurate and up to date.
• Work closely with our General Manager, Operations Managers and Project Managers to develop compelling, commercially sound submissions.
• Coordinate technical, operational, financial and compliance information required for tenders.
• Prepare capability statements, proposals, expressions of interest and supporting bid documentation.
• Identify and track new business opportunities across infrastructure, construction and utilities.
• Manage tender portals, registrations, submissions and associated correspondence.
• Support bid reviews, follow-ups, client communications and successful handovers to project delivery teams.
• Identify opportunities to improve our bidding processes, templates, systems and overall submission quality.

What We Are Looking For

We are looking for someone who brings more than just administration skills. We want someone who is switched on, accountable, resourceful and genuinely interested in the commercial side of the business.

Ideally, you will have:

• Previous experience in bid coordination, tendering, proposals or a similar commercially focused role.
• Experience within construction, civil infrastructure, utilities, engineering or a related industry.
• Excellent written and verbal communication skills and the ability to produce polished, professional submissions.
• Strong organisational skills with the ability to manage competing priorities and tight deadlines.
• Confidence working with senior stakeholders and coordinating information across multiple teams.
• Strong Microsoft Office skills, particularly Word, Excel and PowerPoint.
• Experience with CRM systems such as Pipedrive, or the ability to learn new systems quickly.
• An eye for detail, a proactive mindset and a genuine sense of ownership.
