Job summary

Toyota Australia in Melbourne is seeking a Benefits & Data Quality Administrator to join the People & Culture division in a permanent full-time role.

You will reconcile employee vehicle benefit data, handle employee enquiries, support audits and governance, and drive data quality improvements in a hybrid work setup based in Altona North.

Qualifications

• Experience in data quality, data administration, or HR/finance support with emphasis on accuracy.
• Strong data analysis skills and the ability to reconcile multiple data sources.

Responsibilities

• Reconcile data relating to employee vehicle benefits, leasing arrangements, deductions, and related programs.
• Investigate discrepancies across data sources and coordinate timely resolution.
• Prepare and maintain data files, reports, and records to support operations.
• Respond to employee enquiries about vehicle benefits and related programs.
• Support audit, compliance, and governance activities including fuel usage audits.
• Identify process improvements to strengthen controls and efficiency.
• Collaborate with stakeholders to ensure accurate, timely service delivery.
• Demonstrate attention to detail in data quality and compliance activities.

An exciting opportunity has arisen for a Benefits & Data Quality Administrator to join our People & Culture division in a permanent full-time role.

The People & Culture Division leads the implementation of strategic, people-focused initiatives across Toyota, fostering a safe and inclusive environment where team members are empowered to perform at their best. Operating through an HR shared services model, the division delivers a broad range of services across employee benefits, organisational development, employee relations, health and safety, talent acquisition, and learning and development.

In this role, you will help ensure the accuracy and integrity of data that supports Toyota's employee vehicle and benefits programs. Working with datasets from multiple sources, you will reconcile data, investigate discrepancies, identify trends and exceptions, and support the delivery of accurate and compliant outcomes.

You will also play an important role in providing day-to-day administration of employee vehicle programs, responding to employee enquiries, supporting compliance and audit activities, and contributing to continuous improvement initiatives that enhance data quality, efficiency, and the employee experience.

This role is ideal for someone who enjoys working with data, solving problems, investigating inconsistencies, and working through that information to determine the correct outcome. You'll combine analytical thinking with strong administration and customer service skills in a unique employee benefits environment.

This role is based in Altona North with flexible work arrangements available.

How you'll make an impact

• Reconcile and maintain data relating to employee vehicle benefits, leasing arrangements, deductions, and associated programs to ensure data accuracy and integrity.
  
• Investigate discrepancies, anomalies, and exceptions across multiple data sources, identifying root causes and coordinating timely resolution.
  
• Prepare, validate, and maintain data files, reports, and records to support operational activities.
  
• Manage employee enquiries through shared inboxes, providing support and guidance on vehicle benefits, leasing arrangements, vehicle purchases, and related programs.
  
• Support audit, compliance, and governance activities (including fuel usage audits) by reviewing information, investigating exceptions, and compliance monitoring.
  
• Identify opportunities to improve processes, strengthen controls, and enhance the efficiency and effectiveness of vehicle benefits administration.
  
• Collaborate with internal and external stakeholders to ensure accurate, timely, and customer-focused service delivery.
• Experience in a data quality, administration, operations support, customer service, benefits administration, finance or HR support, compliance, or similar role where accuracy and attention to detail are critical.
  
• Strong Excel skills with the ability to work confidently with large datasets, perform reconciliations, identify discrepancies, and draw meaningful conclusions from data.
  
• Demonstrated ability to analyse information from multiple sources, investigate issues, and determine practical solutions.
  
• Exceptional attention to detail and a commitment to maintaining high standards of accuracy, quality, and compliance.
  
• Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
  
• Excellent communication and stakeholder management skills, with a proactive, customer-focused approach and a passion for continuous improvement.
