Job summary

The Assistant Payroll Officer role is with the Department of Education, Western Australia, located in East Perth. The position supports payroll processing, data management and customer service across WA public schools and central offices.

Successful applicants will handle routine payroll tasks, maintain employee data, generate earnings and service statements, and administer parental leave payments in alignment with industrial instruments and policies.

Responsibilities

  • Process routine payroll transactions and verify accuracy in pay processing workflows.
  • Maintain employee personal information and update data integrity reports.
  • Generate statements of service, earnings statements, separation certificates and employment verifications.
  • Administer Commonwealth paid parental leave and related payments.
  • Answer calls on the customer support line and assist customers in person.
  • Provide payroll support to schools, central office and regional education offices.

Job description

Payroll Services are seeking to establish a pool of Assistant Payroll Officers for permanent and fixed term, full-time and part-time vacancies which may arise during 2026 and up to the end of September 2027. Appointments may be offered at any time for vacancies that commence during this period.

We currently have 4x permanent, full-time positions, commencing November 2026

The Payroll Services Branch process employee salary, leave, superannuation and salary packaging records to maintain accurate and timely payments to Department of Education staff. The Branch services 75,000 plus employees in WA public schools, central office, and regional education offices. Services include:

  • perform complex remuneration calculations for retirements and terminations
  • transfer of leave entitlements between agencies
  • overpayment processing and recovery
  • advice and application of multiple industrial instruments, legislation and policies
  • audit, compliance and exception reporting and processing
  • superannuation payments and salary packaging services
  • deliver customer service via contact centre operations
  • provide customer service to:
    • School employees, principals, and managers corporate services
    • Central Services employees and business unit managers
    • Salary packaging providers
    • Government Employees Superannuation Board (GESB)
    • Australian Taxation Office (ATO)
    • Office of Auditor General (OAG)
    • Public sector agencies
    • Services Australia
    • Unions and Associations
  • development and delivery of operational payroll business and service improvement opportunities
  • development and delivery of operational training and development programs related to Payroll Services.
The Role

The Assistant Payroll Officer plays a vital role in delivering accurate and timely payroll services and supporting departmental operations through efficient payroll processing and administrative support, contributing to overall organisational compliance and employee satisfaction.

The successful applicants will; action easy to process payroll system-generated electronic advice matters, process routine leave bookings, maintain ongoing deductions and ensure accuracy in pay processing within established workflows. They will maintain employee personal information and review and resolve data integrity reports involving low complexity discrepancies and applying established procedures to maintain accuracy in payroll records.

These applicants will also generate and administer employees’ statements of service, statements of earnings, separation certificates and employment verification checks. They will also administer Commonwealth paid parental leave and Child Support Agency payments.

They may additionally answer calls on the customer support line and assist customers in person whilst responding to customer queries using the Department’s Enterprise Service Management platform.
