Job summary

Worley in Geelong, Australia is seeking an Administrative Assistant to support our Projects Team. This role provides administrative, reporting, mobilisation and document-control support to help ensure projects are delivered safely, efficiently and in compliance with company requirements.

You'll handle day-to-day administrative tasks, coordinate mobilisation activities, support HSE and compliance, and prepare project reports, dashboards and records.

Responsibilities

  • Provide day-to-day administrative support to project teams, including project setup, close-out, archiving, reporting and team communications.
  • Coordinate personnel mobilisation and demobilisation activities, including onboarding, site access, inductions, systems access, resource tracking and new starter communications.
  • Support health, safety and compliance activities through monitoring safety actions, MOC registers, training compliance, incident reporting and safety meetings.
  • Prepare and maintain project reports, KPIs, schedules, resource forecasts, dashboards, databases, pivot tables and performance data.
  • Assist with document control, technical records management, drawing transfers, filing, metadata administration and record retention.
  • Coordinate project meetings, preparing agendas, issuing invitations, tracking actions and maintaining action registers.
  • Support team engagement initiatives, project updates, internal communications and milestone recognition activities.

We are seeking an Administrative Assistant to support our Projects Team in Geelong Australia. This role provides administrative, reporting, mobilisation and document-control support to help ensure projects are delivered safely, efficiently and in compliance with company requirements.
