Job summary

JLE Group, based in Newcastle, NSW, is seeking an experienced Administration & Project Support professional to deliver administrative, commercial, and project coordination support for electrical infrastructure projects. You will act as the central coordinator among site personnel, subcontractors, clients, suppliers, and the project team.

Qualifications

  • Certificate III or higher in Business Administration or Project Administration.
  • Current Driver's License.
  • White Card.
  • Experience in project administration or construction administration.
  • Advanced Microsoft Office skills.
  • Strong written and verbal communication skills.
  • Document control training or experience.

Responsibilities

  • Provide administrative support to Project Managers, Engineers, and Site Supervisors.
  • Maintain project registers and documents.
  • Assist with preparation of project correspondence.
  • Coordinate project filing and record management.
  • Ensure project records are current and audit-ready.
  • Raise purchase requisitions and purchase orders.
  • Track material deliveries and procurement status.
  • Support inventory and material tracking activities.
  • Assist with safety systems administration.
  • Assist with project cost tracking.
  • Assist teams with day-to-day coordination.

Description

JLE Group are looking for an experienced Administration & Project Support to provide administrative, commercial, and project coordination support to ensure the successful delivery of electrical infrastructure and installation projects.

About the role

The role is responsible for supporting project teams through document control, subcontractor onboarding, procurement administration, reporting, timesheet management, safety documentation, and stakeholder communications. This position acts as the central coordination point between site personnel, subcontractors, clients, suppliers, and the broader JLE project team.

Key responsibilities include:
  • Provide administrative support to Project Managers, Project Engineers, and Site Supervisors.
  • Maintain project registers.
  • Assist with preparation of project correspondence.
  • Coordinate project filing and record management.
  • Ensure project records remain current and audit-ready.
  • Manage controlled project documentation.
  • Coordinate onboarding of employees and subcontractors.
  • Coordinate site access requirements.
  • Raise purchase requisitions and purchase orders.

What you'll bring
  • Certificate III or higher in Business Administration, Project Administration, or similar experience.
  • Current Driver's License.
  • White Card.
  • Previous experience in project administration or construction administration.
