Job summary

Mater Group is seeking an experienced Administration Coordinator in Brisbane to deliver exceptional administrative service to patients, relatives and clinical/non-clinical staff. The role is permanent, full-time, based at South Brisbane & Springfield, reporting to the Business Manager – Planned Care.

You will lead a team of Administration Coordinators, focus on financial efficiency, resource utilisation, and operational process improvements to achieve sustainable outcomes.

About the role

Mater Health Brisbane are currently seeking an experienced and dynamic Administration Coordinator to play a key role in the delivery of exceptional administrative service and support to Mater patients, relatives and clinic and non-clinical staff. This position is being offered as a permanent, full time position based at South Brisbane & Springfield.

The position reports to the Business Manager – Planned Care. In this role you will be a member of the Planned Care leadership team, helping to respond to escalations and queries, whilst leading and supporting improvement and change management initiatives across the service.

You will join a team of Administration Coordinators, with the core function to provide specialised knowledge in administrative tasks and provide guidance to administration staff whilst managing the day-to-day operational requirements of the department. There is a specific focus on financial efficiency by managing resources effectively and optimising operational processes for efficiency in addition to optimal utilisation of resources, both human and material to achieve best and sustainable results.

Salary range: $54.57 – $59.38 per hourplus superannuationandaccess to not-for-profit salary packaging up to $15,900+access to many staff benefits!

What you’ll be doing

The role of Administration Coordinator will see you drive efficiency and improvement in line with organisation goals and key performance indicators.

Responsibilities for the role will include:

  • Overseeing of the delivery of services within the department or unit ensuring high standards are maintained
  • Managing staff schedules (rostering) and participation in recruitment processes to ensure the department is adequately staffed
  • Evaluate employee performance, identify areas of improvement, and promote professional development among the team members
  • Foster a positive work environment & culture by engaging with employees and addressing their concerns, thus ensuring high levels of engagement
  • Assess skill sets of the team members and ensure an appropriate mix of skills to handle various tasks efficiently
  • Set and maintain high standards for the quality of administrative work, striving for exceptional performance from the administration team
About you

To be considered for this role, you must have:

  • Healthcare Administration Experience
    Demonstrated expertise in complex healthcare administration, providing specialised support in fast-paced environments
  • Leadership and Team Management
    Proven ability to lead, manage and develop teams, ideally within medical or healthcare settings
  • Strong Operational Skills
    Excellent time management, prioritisation and organisational skills, with the ability to manage competing demands and meet tight deadlines
  • Change, Problem Solving and Decision Making
    Experience leading change initiatives, applying lateral thinking, and making sound decisions in line with organisational policies and delegations
  • Communication and Collaboration
    Highly effective interpersonal, written and verbal communication skills, with the ability to work collaboratively and independently
  • Patient Focus, Attention to Detail and Technical Capability
    Committed to delivering patient-centred care, maintaining strong attention to detail, and proficient in Microsoft Office and healthcare information systems, with the ability to quickly learn new technologies
